Position Summary

The Program Assistant within Women, Infants, and Children hereinafter (WIC) is responsible for scheduling enrollment appointments for qualifying individuals and families into the program for the following services with the following team:

 

  • Registered Dietician
  • Nutrition Assistant

 

This is the front line for service within the department having hands on administrative, customer service, and communication.  This position reports directly to the Director of WIC Services.

 

Attention to building trust in the community and the population we serve along with the organizational team is paramount.  Focus on organizational success tailoring to the WIC program.

Duties and Responsibilities

 

Provides a high level of customer service as the initial point of contact including scheduling appointments after successful screening and follow up reminders

 

Participates in process of intake to the program promoting breastfeeding by referring participates to the Certified Lactation team for support services

 

Completes necessary paperwork after researching records and determining services needed

 

Provides education and information on the program to increase health and wellness

 

Accurately enters and documents information into the system for the individual participant file and records medical results ensuring state requirements are continuously maintained and met

 

Issues and presents communications, documents, and schedules, needed for workflow and use by others

 

Assists with set up and closing procedures for a successful work flow and experience

 

Issuing and ensuring food instruments and equipment used is set up for optimal functionality and printing ability

 

Follows up on appointments, transfers participants for start and ending of program successfully

 

Verifies accurate information on food voucher comparing to the data found in the system

 

Runs reports and audits information for accuracy and prepares and reconciles information

 

Ensures the organization’s compliance with all applicable laws, rules, regulations, and standards

 

Monitors income eligibility requirements

 

Sets up follow up medical tests and appointments

 

Follows safe work practices

 

Maintains confidentiality of participant personal, medical information and other sensitive information

 

Provides the necessary information to teams

 

Accurately follows steps to the voucher, check, and signing process

 

Ensures administrative functions are handled including making sure packets and information is prepared, stocked, and updated ready for use

 

Presents participates to teammates

Experience and Education

High School Diploma or equivalent

 

Experience with computer programs including Microsoft Office and databases

 

Must successfully complete WIC WISE training within six months from date of hire

 

Education and experience in nutrition is preferred

 

Bilingual in Spanish is preferred

 

WIC experience is preferred

 

Valid driver’s license and proof automobile liability insurance
