Description

Job Purpose: Welcome and escort or direct all visitors. Greet and direct all callers.

Responsibilities and Duties:

Essential Functions:

  • Answer and route incoming telephone calls.
  • Forward to voice mail or take messages as directed.
  • Forward all messages promptly.
  • Assist in handling telephone calls, including requests from clients and non-clients regarding general information.
  • Greet shelter visitors, ascertain nature of business, and refer to appropriate staff member or location.
  • Scan and otherwise record adoption, medical and intake paperwork and forward for shredding.
  • Make copies as directed.
  • Provide basic clerical assistance to department and CEO.
  • Provide friendly, responsive and personalized customer service.
  • Keep accurate and updated records and enter data as required into appropriate shelter software.
  • Maintain a clean and safe work environment.
  • Participate in required meetings and trainings.
  • Provide administrative and clerical support.
  • Professionally represent SPCA Tampa Bay at all times.

Nonessential Functions:

  • All other duties as assigned.

 

Qualifications

Education:

  • High school diploma or GED certificate.
  • Business courses preferred

Experience:

  • One to two years of work experience, preferably in an office.
  • Volunteer experience may be substituted.

Licensure or Certification:

  • Valid Florida driver’s license with acceptable driving record.

Demonstrated Competencies:

  • Ability to provide excellent service and care for customers and animals.
  • Ability to follow directions.
  • Basic math skills.
  • Legible handwriting.
  • Ability to operate computer, printer, copier, telephone, fax machine and smartphone.
  • Discretion and ability to maintain confidential information.

Physical Demands:

  • Ability to sit for extended periods of time.
  • Ability to operate basic office equipments including multi-line phone system, copiers, faxes and computers.
  • Ability to hear.
  • Clear and understandable voice.
  • Light physical effort – routinely lifting or moving less than 25 pounds.
  • Stooping and bending.
  • Occasional exposure to areas of high noise levels, such as dog kennels.

Other:

  • Reliable transportation.
  • Ability to pass required background checks.
