Anders, a top St. Louis-based accounting firm is seeking an organized, professional, and detail-oriented Administrative Assistant to support the firm’s technology efforts. The ideal candidate will have strong experience with Word, Excel, Outlook and be highly organized.  Experience with QuickBooks and bill payment platforms like is a plus.

The Administrative Assistant must demonstrate the ability to handle multiple projects and details simultaneously. In addition, they must demonstrate effective oral communication and written skills and the ability to work cooperatively with staff inside and outside of the department.

Specific duties and responsibilities include (but are not limited to):



Time Entry Coordinator:

  • Monitor and review time sheets for the team daily
  • Send reminders for employees to enter their time
  • Correct spelling, punctuation, and billing codes as necessary
  • Reject inaccurate time sheets
  • Approve and submit time sheet stack monthly


General Admin Duties:

  • Touch base with supervisor and other managers to see what they need help with
  • Attend meetings, take meeting notes, and save in Microsoft Teams
  • Reconcile Tech Data invoices with information online and log on spreadsheet
  • Keep track of employee training and certifications earned. Keep management up to date.
  • Schedule and plan team meetings; work with Facilities Coordinator for catering
  • Print and mail invoices to clients
  • Prepare items to be shipped to clients
  • Scan and send documents internally



  • Enter bills to be paid into and credit card receipts into QuickBooks
  • Create client invoices


Microsoft Partnership:

  • Assist with administrative side of Microsoft partnership, which may include scheduling of trainings for the teams, tracking of incentives, and payment tracking.


Marketing / Sales:

  • Assist with State of Work creations and client service agreements
  • Review all documents for formatting and accuracy
  • Create projects and opportunities in CRM system
  • Create internal and external templates for Anders documents as needed
  • Enter new company and contact information in CRM system; update information as needed
  • Schedule all Roadmaps on calendars for account managers and technical leads


Project team assistance:

  • Work with Project Manager to schedule specific dates to all calendars.
  • Work with Project Managers and Managed Service managers to maintain checklist to ensure all documentation is added to IT Glue.
  • Review documents for members of the team before they send to client
  • 3-5 years of experience in an administrative support role
  • Advanced proficiency in Microsoft Office products, plus Adobe Acrobat
  • Excellent interpersonal and communication (written and verbal) skills
  • Team oriented to accomplish project work
  • Strong work ethic
  • Ability to multi-task while maintaining quality and meeting deadlines
  • Outstanding organization, time management, administrative skills
  • High level of confidentiality, professionalism, and flexibility
  • Operates with a “service oriented” mindset; demonstrates initiative and desire to assist others
