About the role:

The office administrator will provide general office support with a variety of administrative and HR related tasks.  In this position you will help manage a variety of administrative tasks at our office with a focus on Human Resources Administration. In this role, you will also support other functional teams (accounting, recruiting, program management, etc.). As you will be providing support to the employees of Ipro, we are looking for a person with a positive attitude and willingness to help and coordinate office activities, a positive attitude and attention to detail are a must.

Responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, requisition of supplies and facilities and additional administrative duties.  They will be at the front desk by 8:00 AM and throughout the day until 5:00 PM Monday – Friday. Main phone coverage will be provided for a one-hour lunch.

The successful candidate must have:

  • High school diploma or equivalent; (associate’s or bachelor’s degree preferred) 
  • Highly organized multitasker who works well in a fast-paced environment
  • Prior experience handling office responsibilities, experience in customer service, or related field 
  • Intermediate skills using Microsoft Office, Word & Excel 
  • Excellent written and verbal communication skills 
  • Warm personality with strong communication skills
  • Ability to work well under limited supervision.
  • Willingness to learn and to grow with the company

We are looking for someone who:

  • Has octopus arms. (But really though) – You know how to keep several projects or tasks moving at the same time. You may also be great at “spinning plates”.
  • Highly values confidentiality. You recognize and honor what should not be repeated.
  • Is task-driven. You like making a list, checking it twice, and crossing things off it.
  • Is not overwhelmed with competing priorities and projects.
  • Has mastered the art of prioritization (without someone telling you how). You know which balls are glass, and cannot be dropped, and which are rubber and will bounce back to you.
  • Is a smooth communicator face to face, in writing, and over the phone.
