The Manager, Registration Services is responsible for the management of the Registration Team as part of our Global Incentives & Meetings division. This role is responsible for overseeing all registration and electronic communication to program participants. They also provide scope and quotes for travel websites, registration, emails blasts, apps, and other technology. They work closely with Account Managers/Operations to manage details for all participants. This role works heavily within CVent for creating travel sites, reporting, apps, etc. Ensuring a high quality of customer service is delivered to clients and participants is paramount.

Key Responsibilities:

  • Attend program development meetings to determine program website, app and email blast scope.
  • Attend Turnover Meetings and Post-Program Reviews.
  • Maintain travel Website Development Schedule.
  • Establish project timelines for websites and email blasts.
  • Assign coordinators to programs.
  • Complete 90 day and annual review for coordinators.
  • Submit website and email development WJRs.
  • Request domain and have programmers set it up on our server.
  • Request unique program email address.
  • Create program registration specs.
  • Call Design Turnover Meeting with Account Manager and Designer to kick-off web design.
  • Check programming and design work for quality, content and functionality.
  • Coordinate change requests from Account Manager and client.
  • Coordinate with Trafficker on program timelines and updates.
  • Communicate with Account Managers and clients regarding project status and development.
  • Alert Account Manager when project is exceeding original scope. Communicate additional cost.
  • Issue 1099 reports to Accounting.
  • When needed, travel onsite to oversee registration and communications during programs.
  • Keep accurate records of live travel websites in Website Library folder.
  • Enter program data into Sold Pending system and assign program numbers.
  • Implement surveys and photo websites.
  • Maintain BackOffice, CVent, and RegPort systems.

Qualifications, Requirements, or Competencies:

  • Bachelors degree in a related field
  • 5 years of prior experience in registration as well as 1-2 years of people management
  • CVent Certified
  • Exceptional ability to change focus from one program to another
  • Strong communication and problem-solving skills
  • CrowdCompass experience
  • Basic knowledge of HTML highly preferred
