POSITION SCOPE

This position provides administrative support to the President and Publisher and to the publishing division that reports to the President and Publisher. This includes highly refined organization skills, excellent interpersonal skills, and professionalism in dealing with internal and external customers.

ESSENTIAL RESPONSIBILITIES

  • Schedule appointments, create and distribute meeting agendas, keep meetings on schedule
  • Maintain calendar for the President and Publisher
  • Act as a liaison with the various departments across AMU
  • Maintain accurate and up-to-date files and filing process within AMU systems
  • Complete and submit all copyright applications for books
  • Manage an exceptional and accurate follow-up system
  • Draft rejection letters and other types of communication
  • Schedule meetings, appointments, and travel details without mistakes or conflicts
  • Be adept at taking meeting notes. Weekly acquisitions meetings, marketing meetings, and other meetings as required demand accurate notes, typed and distributed within 24 hours of each meeting
  • Research projects, as assigned, related to editorial, marketing, and sales, including market research and Bookscan reporting to support acquisitions
  • Coordinate monthly Plaunch meetings: create tip sheet packages
  • Review/Recommendation for manuscripts, including sending rejection letters
  • Create and run reports from Title Management, IMS, Cispub
  • Assist in the writing of sales and marketing copy for projects
  • Process & route unsolicited manuscript submissions to editors
  • Create PowerPoint presentations for authors, sales presentations, etc.
  • Coordinate advance copy distribution to Book Group
  • Process expense reports and invoices

  • Ability to accurately organize and complete multiple projects within time deadlines
  • Excellent written and verbal skills
  • Ability to anticipate the needs of the President/Publisher and respond accordingly
  • Familiarity and practice of social media communication

MINIMUM QUALIFICATIONS

  • Bachelors degree from a four-year college or university
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • 1-2 years executive administrative/business experience preferred
