Position Title:               Accounting Associate – 30 Hours/Week (Full Benefits)


Accountable To:           Finance Manager


Starting Wage:              $24.00 – $28.80/hour


Purpose Summary:

The Accounting Associate is an integral position of the finance and accounting department that supports the business operations and organizational success of PAWS.

Essential Responsibilities:

In accordance with organizational policies, duties include but are not limited to:

  • Verify incoming invoices and distribute for managers’/directors’ approval.  Prepare and process accounts payable checks. File all necessary backup paperwork as appropriate.  Serve as liaison between PAWS and vendors on payment issues.
  • Prepare bank deposits for program operations to include Companion Animal Shelter and Wildlife Center.  Take deposits to the bank once a week.
  • Reconcile petty cash and manual check needs.
  • Input all financial accounting data relating to accounts payable, deposits, recurring and/or  journal entries into PAWS financial accounting program (QuickBooks).  Reconcile savings type bank accounts monthly. 
  • Reviews and reconciles all agency credit card accounts and ensures all support documentation and approval are accounted for.
  • Update Excel general ledger tracking spreadsheets monthly or as needed.
  • Input data and maintain all paperwork necessary for complete records on all fixed assets.
  • Prepare data reports/graphs from financials as needed.
  • Work with Development Manager and staff to reconcile financial accounting program, QuickBooks, with development donor database program, Raiser’s Edge, on a monthly basis.
  • Prepare and file monthly/yearly excise tax reports.


Other responsibilities Include:  

  • Prepare and submit 1099 year-end reports to appropriate vendors and the IRS.
  • Assist in preparation for annual financial audit.
  • Maintain an orderly and complete filing system for all accounts payable records, 1099 records and other accounting paperwork.
  • Oversee Accounting Intern, temporary employee, or assistant if/when these positions are utilized by PAWS.
  • Perform other related duties as required by the Finance Manager, CFO/COO or CEO.


Controls over Work

The Accounting Associate works under the general direction of the Finance Manager and is expected to pursue the established duties without detailed supervision.



Physical Requirements:

The work requires long periods of sitting at a desk while using a computer, calculator and other office equipment.

  • Associate Degree in accounting or equivalent experience/education required.
  • Minimum two years’ experience in accounting required with a good understanding of accounting.
  • Must have knowledge and experience working with QuickBooks (or other accounting/financial software) and good computer skills including word processing, database and Microsoft Excel.

  • Must be willing to work in a dog–friendly office.
  • Be able to obtain a valid Washington driver’s license with no record of major or repeated minor traffic offenses and auto-insurance with required coverage limits.
