Job Description & Duties

Essential duties and responsibilities include, but are not limited to:

  • Tracking and reconciliation of daily cash receipts to billing system
  • Apply/allocate cash receipts, lockbox, ACH and credit card payments to accounts
  • Monitor and manage unallocated funds
  • Ensure that receipts, discounts and adjustments are accurately posted to the client accounts in a timely manner to meet department goals
  • Monitor status of client retainers and retainer billings
  • Process incoming and outgoing Trust account monies
  • Provide daily, weekly cash reports to management
  • Provide Admin support to the Receivables Analysts as needed
  • Complete special projects or perform other work-related tasks a assigned by the manager
  • Interaction with Clients Services Managers, Partners, Members, Associates, Executive Assistants, AR & AP teams, and Client Accounting Solutions Management
  • Email interaction to include, invoice copies, spreadsheets, bill and payment history, Statement of Accounts, monthly Accrual Summary for each client
  • Prepare forms and backup information, and email to the appropriate Inbox
  • Review Credit/Retainer balances, client deferred status, prepare Credit Memo’s, prepare write-offs, move or apply funds in Retainer or Unapplied
  • Follow up with billing attorneys and clients to provide excellent customer service

Knowledge, Skills, and Abilities:

  • Previous experience in accounts receivable environment of past-due receivables
  • Genuine and authentic emphasis on customer service excellence
  • Attention to detail with excellent analytical and problem solving skills
  • Ability to see something that needs to be done and getting it done 
  • Strong organizational skills
  • Excellent communication skills--written and verbal
  • Prepare reports and analysis as requested for internal and external contacts
  • Ability to interact and communicate clearly across a broad section of departments in order to resolve open items
  • Team player attitude

 

Qualifications

Required Experience:

  • MS office with strong knowledge in Excel and Word
  • 2+ years of accounts receivable, accounts payable and/or other accounting experience
  • An understanding of basic accounting and familiarity with accounting terms

Preferred qualifications:

  • Law firm experience in cash applications, collections, billing or accounts receivable, strongly preferred
  • Experience with 3E, Elite/Enterprise or Aderant
  • Degree in Accounting, Business or Finance
