Position Summary

The Executive Assistant to the Chief Development Officer (CDO) plays a crucial role in supporting the CDO and the development team in achieving the organization's fundraising and strategic objectives. This position requires a highly organized, proactive, and professional individual with excellent communication and multitasking skills. The Executive Assistant will serve as the primary point of contact between the CDO and internal/external stakeholders, ensuring seamless operations and contributing to the success of our development initiatives.

Key Responsibilities

  • Manage the CDO's calendar, schedule meetings, and coordinate appointments, ensuring optimal time management and prioritization.
  • Prepare and edit documents, presentations, and reports for internal and external distribution.
  • Handle phone calls, emails, and inquiries, providing timely responses and routing communications as necessary.
  • Assist in the planning and execution of fundraising campaigns, events, and donor engagement activities.
  • Maintain and update the donor database as needed, ensuring accuracy and confidentiality of donor information.
  • Collaborate with cross-functional teams to facilitate effective communication and project delivery.
  • Arrange travel accommodations, itineraries, and expense reporting for the CDO and other team members as required.
  • Manage logistics for meetings, conferences, and events, including room bookings and catering.
  • Act as a liaison between the CDO and internal staff, donors, board members, and other stakeholders.
  • Foster positive relationships with donors and supporters, providing exceptional customer service and maintaining a professional demeanor.
  • Handle confidential information with the utmost discretion and maintain organized records and files.
  • Other duties as assigned.

Qualifications & Expectations

Qualifications:

  • Bachelor's degree in a related field or equivalent work experience.
  • Proven experience as an executive assistant or in a similar administrative role, preferably in a nonprofit or fundraising environment.
  • Exceptional organizational and time-management skills with the ability to manage multiple tasks and deadlines.
  • Proficiency in Microsoft Office Suite, and CRM software.
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and attention to detail.
  • Discretion and professionalism in handling sensitive information.
