Position Overview
The Program Coordinator supports program operations by performing mainly routine assignments to contribute to overall organizational and programmatic goals. Under the supervision of the Program Manager, the position has relational, administrative, and research functions, requiring the development of detailed knowledge of Unit activities and procedures. The Fellowships Coordinator works closely with all members of the Unit on the implementation of the Unit’s plans which involve fundraising and program functions.

Specific Responsibilities:

  • Support Program Manager in managing the annual Fellowship application process, including outreach and relationship management with prospective applicants and host organizations, and responding to day-to-day inquiries.
  • Provide administrative and logistical support for the annual application review cycle, in conjunction with the Director of Alumni Engagement.
  • Arrange interview schedules and general logistics for Fellowship applicants.
  • Facilitate bi-annual reporting cycle including external communications, report analysis and synthesis, and preparation and distribution to sponsors.
  • Provide general support on donor relations work, such as researching prospects, preparing for donor meetings, ensuring donor record accuracy.
  • Assist with specific and routine transactional tasks such as payments and donor acknowledgment.
  • Clean data and maintain database records.
  • Support administration of alumni and Fellow onboarding/offboarding, training, and engagement activities including annual Leadership Development Training.
  • Other duties as assigned.

Qualifications & Skills:

  • One or more years (or equivalent) relevant work experience/training.
  • Associate’s or Bachelor’s degree preferred. Additional years of work experience may be substituted in lieu of degree.
  • Proficient in Microsoft Office (e.g., Outlook, Word, Excel, PowerPoint, SharePoint).
  • Experience with client relationship management software (e.g., Dynamics365, Microsoft CRM) and videoconference/webinar software preferred.
  • Strong time management skills with an ability to demonstrate adaptability and flexibility while working in a team and independently with regular guidance and supervision.
  • Attention to detail and ability to manage multiple tasks efficiently. Experience developing and maintaining working relationships across internal teams and with external stakeholders via email and video/phone conference and/or in-person.
