The Project Coordinator reports to the Chief of Staff in the President's Office and will lead on supporting members of the Senior Leadership Team, lead on cross-departmental project management, and will support virtual and live events for a wide range of audiences. This role is a crucial position in building and supporting the One WFP USA culture by providing cross-team communications, clarity, and project-management support to keep efforts moving forward effectively and efficiently. With strong attention to detail and excellent organizational skills, the Project Coordinator will provide support to administrative tasks related to our board of directors, Management Council, and senior leadership as requested. In addition, this person will attend specific meetings and provide follow-up reports as required.
GENERAL RESPONSIBILITIES
Project Coordination:
- Develop project management plans for cross-department projects and maintain accountability for completion
- Manage RFP processes as needed for contracting purposes
- Conduct research and synthesize information for recommendations
- Attend meetings as requested and manage required follow-up
- Record and distribute meeting notes and coordinate related follow-up activities
- Assist with planning and executing WFP USA hosted events, including those on the Hill, in-person and virtual
- Support quarterly reporting on strategic plan goals
- Assist in preparing board of director's materials as needed
- Prepare presentations and other materials for meetings and events as required
- Establish an excellent working relationship with the Members of the Board of Directors in verbal, written, and electronic correspondence.
- Handle special projects as requested by senior leadership
Administrative Support:
- Coordinate and schedule internal and external meetings
- Respond to meeting and information requests for Management Council and members of Senior Leadership Team as requested
- Manage and update key contacts in the organization's database and executive files
- Process expense reports for members of the Senior Leadership Team in a timely fashion
- Prepare correspondence on behalf of senior leadership
- Arrange travel as required
- Other duties as directed
