SUMMARY:
The Asia Society, a global arts and policy organization headquartered in NYC, is looking for a can-do individual for its events department to support the AV Systems and Production Manager with the operational, logistical and administrative coordination of audio visual requirements for events at its historic headquarters building on Park Avenue. This work includes pre-production planning and coordination, monitoring and maintenance of equipment, and event database management. It requires sharp organizational skills, knowledge of AV equipment, systems and operations, flexibility and good people skills.
RESPONSIBILITIES:
- Identifying Event Requirements
Liaises with programmers and events team on audio visual requirements for internal and external events. Identifies the equipment requirements and communicates event requirements to the AV Director and, when required, to the AV technicians.
Instructs AV technicians to set up various equipment including spotlights, microphone, speakers, camera, projector, and all other equipment. After equipment is set, conducts tests to ensure that all the equipment is working safely and properly.
- Equipment Repair and Maintenance
Oversees the repair and maintenance of equipment, checking the equipment at regular intervals and resolves any issues arising with the equipment. Alerts the AV Director about any problems requiring repair or replacement. Researches vendors for outside maintenance of equipment. Maintains equipment maintenance log with vendor names, fees, and quotes.
Processes invoices, using the Asia Society’s online financial system; manages event database; maintains client quote log and event schedule.
