POSITION: Training Administrative Assistant

PROGRAM/LOCATION: Training Department, San Jose CA

SUPERVISOR: Talent Development Director

STATUS: Full Time/Non-exempt

COMPENSATION: $18 - $25 per hour

ROLE SUMMARY:

HomeFirst’s training department equips staff with the knowledge and tools needed to best serve our county’s residents with housing insecurities. The team provides a variety of trainings for staff including CPR, Harm Reduction, Nonviolent Crisis Intervention, and Mental Health First Aid through department training coordinators, our Learning Management System (LMS), and external vendors.

Under the direction and guidance of the Talent Development Director, the Training Administrative Assistant contributes to the development of our staff by updating training records, providing consistent and timely communication with staff about all things learning, and assisting with various training department tasks.

The Training Administrative Assistant is eligible for some remote work. Schedule details, including remote hours, are determined by the Talent Development Director.

 

DUTIES/RESPONSIBILITIES:

Responsibilities include but are not limited to:

  • Updating platforms used by training department and support staff with use of those platforms (e.g., Learning Management System (LMS), Microsoft Teams, Zoom)
  • Assisting with training scheduling by sending calendar invitations, reserving venues, and managing registrations
  • Assisting with training registrations
  • Tracking training completions
  • Communicating training opportunities and updates
  • Printing and preparing training materials
  • Taking inventory of training supplies

  • Ability to use keyboard and read computer screens for extended periods
  • Able to stand/sit for extended periods, kneel, reach and bend related to the completion of duties
  • Able to lift up to 50 lbs. on occasions

 

Preferred Qualifications:

  • Personal experience with homelessness
  • Utilization of Zoom or other virtual presentation platforms
  • Experience with Learning Management Systems
  • Bilingual

Qualifications

QUALIFICATIONS:  

Education and Experience
Although we value academic achievement, we recognize and celebrate individual journeys; therefore, experience and knowledge are prioritized.

  • Employment, internship, or educational experience in administrative work
  • Proficiency in Microsoft Office suite, particularly PowerPoint and Outlook demonstrated by presentation assistance and calendaring once hired
  • Customer service skills, evidenced by experience with supporting customers, team members or colleagues
  • A desire to work with people from a variety of social and economic backgrounds
