Reporting to the Director of Client Success this role helps manage internal sales operations for multiple practices to help us expand our portfolio of custom design-fabrication-technology solutions.  The Practice Manager is internal facing and will work cross-functionally with our Sales, Marketing, Creative Studio, Estimating, Technology and Fabrication teams.  The Practice Manager will make sure internal processes are not only being consistently applied across Practice Teams but are also effective and efficient in closing deals in a fast-paced environment.  The successful person  in this role must be assertive, a strategic thinker, collaborative and consistently has the ability to discern information quickly that drives timely decision-making.

ESSENTIAL RESPONSIBILITIES/FUNCTIONS may include but are not limited to:

  • Expert on the internal sales process and business tools (Salesforce, Slack, Proposify) and supports Practice Directors (PDs) & Account Directors (ADs) in getting potential projects into our CRM/Sales Funnel to help close profitable business opportunities

  • Owns process and logistics for the practices, including Salesforce Setup, Slack channel setup, Fit forms, project checklists, Proposify coordination, etc. 

  • Supports and coordinates project pursuits, including estimating coordination and proposal development, including RFP pursuits to ensure projects are organized, stay on track and the internal team has the information required

  • Supports PDs & ADs with data integrity and Salesforce ownership at a project and account level for PDs book of business

  • Supports PDs & ADs and coordinates with internal teams to identify and define project scope, requirements, and objectives on assigned projects/clients

  • Acts as the Operations Manager for the practices and meets as needed (daily/weekly) with PDs & ADs to review and update  project status in Salesforce, discuss any outstanding tasks or project questions from internal team members and gather additional project information needed from the seller to keep the project moving through the sales cycle    

  • Prepares proposals for PDs & ADs internal approvals and ensures timeliness and accuracy

  • Reviews and understands the requirements for RFP submissions, directs and delegates information to correct internal team members

  • Oversees and manages the development of RFP’s responses or other documents describing organizational products/services in responses to requests from prospective clients

  • Collaborates and coordinates with internal teams, PD/AD, Marketing, Creative Studio and Estimating to develop and prepare RFP responses and ensures responses are complete, accurate and delivered on time

  • Keeps internal stakeholders apprised of opportunity status related to budget, sales stage, and timeline by managing tracking documents and CRM data in Salesforce

  • Assists PDs & ADs with client contracts, insurance documentation, and vendor paperwork for new projects

  • Fosters a collaborative, problem-solving culture that inspires and encourages the team

  • Schedules, leads, and documents status update meetings pre-sale and during the discovery phase

  • Ensures the use of “best practices” and effective processes across DI

  • Ensures team members know, and are following, established company practice management procedures, i.e., maintenance of client files, approval process, status reports, etc.

KNOWLEDGE/SKILLS/ABILITIES

  • Account management experience utilizing sales management tools and CRM software (Salesforce) is required

  • Estimating knowledge, proposal development and contract knowledge is a critical skill with the ability to read and interpret an estimating workbook

  • Customer-focused (internal) approach to innovation and problem solving

  • Ability to foster strong, cohesive working interdisciplinary teams across multiple departments

  • Fosters a collaborative, problem-solving culture that inspires and encourages the team

  • Ability to manage multiple projects and timelines while staying focused on core business goals

  • Excellent communication skills, both written and verbal, including the ability to have crucial conversations with team members effectively with the goal of striving for the best solutions

  • Attention to detail and strong organizational skills are extremely important

  • Self-motivated work style and the willingness to engage with internal team to deliver the best possible client experience

  • Can anticipate next steps and business needs based on client and/or project goals as well as new information

  • Entrepreneurial spirit, showcase a strong work ethic, can-do attitude, and ability to Get Stuff Done balanced with a desire to bring a fun, creative, energetic spirit, and level of professionalism to the Sales team

  • Ability to travel for appointments and meetings as requested

EDUCATION/CERTIFICATIONS/EXPERIENCE

  • Bachelor's degree from four-year College or University preferred or equivalent combination of education and experience
  • 4+ years demonstrated success in a deadline driven, customer-experience focused business model requiring strong project management skills
  • Industry experience with various project types, including digital, video, brand, strategic consulting, creative services, construction/fabrication, and/or architecture is highly desired
  • Work history exhibiting an ability to grow existing accounts/relationships and identify and qualify new opportunities
  • A work history exhibiting an ability to manage accounts and hit revenue targets
  • Experience utilizing sales management tools - preferably Salesforce and LinkedIn
