Description

Developmental Pathways is seeking an Administrative Program Manager for our Program Quality department to support and create cohesion on the  administrative/operations team by creating and maintaining effective, efficient, and innovative business processes. You’ll be responsible for the coordination and administration of general business activities, including oversight of office functions; coordination of internal and external office communications; coordination of essential case management functions and serve as backup for key administrative functions. Our Administrative Program Manager will also assure delivery of quality case management services to individuals and their families, as needed, as well as assuring timely and efficient completion of documentation for funding continuity, as needed. Lastly, you'll get to provide quality project management and administrative support, while overseeing and monitoring relationships with external entities.

  • Manage business support processes across the Program Quality and Case Management departments; organize data quality control and reporting across departments
  • Ensure that various items needing internal controls are received and secured following proper procedures
  • Ensure timely processing, submission, and distribution of reports regarding individuals in service and regulatory reports, special projects, etc.
  • Design/update department/program forms, manuals, and process instructions
  • Ensure adequate supply inventory is in accordance with budgetary constraints
  • Coordinate and direct staff to send out both scheduled periodic mailings
  • Supervise and support the processing of all service plan documentation
  • Serve as agency liaison to the Colorado Department of Health Care Policy and Financing regarding service plan data
  • Ensure maintenance of databases related to all aspects of case management
  • Supervise Program Quality administrative/operations team composed of Administrative Assistants, Assistant Program Managers, Case Management Specialists, Program Administrators, and/or Senior Case Management Specialists
  • Responsible for standardizing and managing business operations across the Program Quality and Case Management departments, which includes managing and controlling equipment inventory, procurement and purchasing, space management, records management, accounts payable and receivable, cash management, case management documentation processes and procedures.
  • Monitor performance and implement improvements in processes and procedures; ensure quality of case management services rendered and monitor internal customer service of supervised staff; provide technical support where necessary
  • Coordinate and/or execute training for new hires to the Program Quality administrative/operations team
  • Develop project scopes and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Develop a detailed project plan to track progress
  • Coordinate internal resources and third parties/vendors for the execution of projects
  • Ensure that all projects are delivered on-time, within scope and within budget; ensure resource availability and allocation
  • Ensure various financial accounts (i.e. petty cash) are managed, balanced, and recorded according to agency policies and procedures
     

Starting Salary and Benefits

Qualifications

Must haves to be our Administrative Program Manager

  • Bachelor’s degree in human services-related field required or equivalent education and experience
  • Proven planning and organizing skills for growing departments of over 150 employees  and their processes
  • Adaptable in a fast-paced work environment with constantly shifting priorities
  • Excellent oral and written communication skills; able to effectively communicate across departments and with individuals at all levels
  • Strong ability to prioritize a varied workload and manage deadlines effectively
  • Ability to manage effectively and direct the activities of subordinate staff
  • Ability to assist others with organizational principles
  • High level of critical thinking and problem-solving skills for complex problems that impact large numbers of internal and external stakeholders

Preferred:

  • Working knowledge of the Developmental Disabilities system, rules, and regulations and can apply that knowledge effectively
  • Experience in the human services field (ideally in Developmental Disabilities)
  • Experience with direct staff supervision, (preferably in an office environment)
  • Valid Colorado motor vehicle license/proof of motor vehicle insurance
  • Meet our driving requirements - no suspensions/no more than two moving violations in the past three years
