Blakeford’s sales and marketing team plays an integral role in building our community through hosting events, leading tours, and more. They are searching for the perfect fit for their Administrative Assistant. Is that you? As a team member, you’ll assist with administrative duties for the sales and marketing team that will include maintaining CRM database, obtaining, and managing admission paperwork and assisting with event planning and implementation. The Administrative Assistant must also have excellent phone and customer service skills as they are the first impression to prospective residents.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Manage incoming calls, website inquires, and walk-in prospective residents. Seek to provide a positive first impression upon all who enter with professionalism, confidence, and hospitality.
  • Become thoroughly familiar with and assist in the implementation of all marketing and sales related events.
  • Maintain inventory and order supplies as needed.
  • Assists with data entry and tracking projects within the department.
  • Assists with composing and distributing marketing related communications to current residents.
  • Assists with creating and distribution of invitations for events and marketing.
  • Assists with the planning and management of the marketing calendar.
  • Become familiar with the move-in and the new resident orientation process.
  • Interacts with co-workers, physicians, residents and all other customers in a manner which encourages harmonious working relationships, enhances the image and reputation of the facility and promotes positive customer relations.
  • Supports the facility’s mission statement by dependability in attendance, punctuality, maintaining confidentiality, the timely completion of assignments, and attention to principles of professional ethics and quality service.
  • Has a commitment to professional and personal growth through development of skills and knowledge, as well as improvement in the facility’s performance.
  • Ensures the rights, dignity and confidentiality of all residents is maintained.
  • All other duties as assigned by the Director of Sales and Marketing.

SUPERVISION & LEADERSHIP:

  • Ability to supervise and instruct contractors and vendors to expedite completion of renovations and move-ins. Basic knowledge of construction with a concentration on kitchen and bath design. Strong communication skills and ability to work with the public.

EDUCATION & EXPERIENCE:

  • Associate’s degree or equivalent from a two-year college. One or two years related experience and/or training; or equivalent combination of education and experience.

SKILLS REQUIRED TO SUCCESSFULLY ACCOMPLISH THE ESSENTIAL FUNCTIONS OF THIS JOB:

  • LANGUAGE SKILLS: Ability to read, analyze and interpret common professional journals, correspondence. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as percentages, area, circumference, and interest.
  • REASONING ABILITY: Ability to define problems, collect data, establish facts and draw valid conclusions.
  • COMPUTER OPERATIONS: Proficient personal computer skills including e-mail, Word, excel, publisher, and outlook.
