The executive administrative assistant supports the CEO/President by assisting with everyday responsibilities and special projects. A high-level knowledge of each department and their purpose in the bank is essential for effective performance. Communication and work performed must project a professional image of the bank. 


This position will be responsible for preparation of board meetings, maintaining the shareholder ledger, and stock changes. The executive administrative assistant will also act as back up to the front desk and assist with other various duties.


Position Responsibilities Include:

  • Provide exceptional customer care when speaking with customers on the phone or communicating through email and also when greeting guests in the office.
  • Assist in preparation for monthly and annual board meetings.
  • Communicate on a regular basis with board of directors.
  • Maintain the shareholder ledger and assist in any stock changes.
  • Assist with writing business communications.
  • Complete and assist the CEO/President with special projects.
  • Provide assistance to the executives of the bank.
  • Assist in payroll processing procedures.
  • Assist with arranging conventions and conferences, which includes working with travel agents, booking airfare and lodging, working with different meeting venues, and assisting with preparation of meetings and presentations.
  • Serve as back-up to the front desk.
  • Ensure compliance and audit requirements are met as identified by management or internal policy or federal rules and regulations, such as BSA and Privacy.
  • Other duties as assigned.

To perform this job successfully, good communication skills are essential. Strong organizational skills and attention to detail are also necessary in this position.


Other qualifications include:

  • 5 years of experience as an administrative assistant, some college preferred.
  • Customer relations skills.
  • A pleasant telephone manner, as well as knowledge and usage of proper grammar in oral and written communications.
  • Technical proficiency in business writing.
  • Flexible with the ability to multi-task and work under pressure.
  • Proficient computer knowledge with experience using Microsoft Office programs and moderate typing skills.
  • Mathematical and analytical skills-accounting or accounts payable experience a plus.
  • Ability to maintain confidentiality.
