SUMMARY: This position provides professional Nursing Care, Management of clinical staff and oversees the daily operations of our OB/GYN suites at the 222 Medical Office Building Downtown Nashville Heritage Women’s Center.

 

ESSENTIAL DUTIES AND RESPONSIBLITIES: includes the following. Other duties may be assigned.

 

  • Oversee the daily operations of the OB/GYN suite at our 222 facility 
  • Staffing of both sites—handling coverage for planned and unplanned time off for MA’s, nurses, and schedulers
  • Responsible for candidate selection for new hires and transfers
  • Ensures training/orientation of new employees is scheduled and/or complete
  • Handle patient, employee or provider complaints/concerns 
  • Oversee ADP time clock system—check for accuracy, make corrections and approval
  • Management and Assist with NST’s as needed
  • Manage and oversee staff that coordinate and assist providers with in Office Surgical Procedures (i.e. ensuring adequate staffing levels to support procedures, staff have ordered proper medications, and have contacted vendors as necessary)
  • Oversee staff responsible for monitoring patient records; ensuring the patient chart entries are made accurately and in a timely manner by clinical staff
  • Monitor orders management, tasks and chart notes ensuring all are correct and/or up-to-date
  • Oversee the ordering of supplies and medications—make sure staff is maintaining appropriate stock levels.
  • Manage clinic policies of daily use; keep rooms and equipment clean between procedures
  • Oversee autoclave cleaning and maintenance as well as infection control in handling and disposing of infectious/hazardous waste materials
  • Manage processes to ensure an efficient patient flow
  • Manage processes to ensure quality patient care
  • Be knowledgeable of all front end and processes that support the registration requirements of payers and HMA
  • Continuously review processes to ensure efficiency and quality in the workflow
  • Plan/organize staff meeting
  • Plan/organized monthly Partners meetings
  • Oversee all employee evaluations, disciplinary actions, and counseling
  • Serve as liaison between HMA administration and physicians
  • Act as a liaison between the billing office staff and providers to ensure chart notes are complete, charge tickets are marked appropriately, ICD-10 codes are correct and ABN’s are completed when applicable.
  • Oversee the GYN abnormal (pap smears and mammograms)
  • When necessary, starts IV’s and oversee administration of fluids and/or medication
  • Develop and implement necessary protocols for consistency between both facilities.
  • Support staff in areas of triage, scheduling and medical assistant duties
  • Physician Call Schedule—Ensure appointment templates are updated and accurate for facilities
  • Meet with drug reps when necessary and relay information to physicians and staff
  • Ensure required Staff and Physicians maintain current BLS, ACLS and License in coordination with Credentialing, Privileging and Human Resources as necessary
  • Preform, troubleshoot and interpret NST
  • Support staff who are assisting patients with appeals, billing confirmations and obtaining prior authorizations for specialty drugs
  • Maintain updated documentation of all policies and standard operating procedures
  • Act as a liaison between all ancillary departments at HMA as well as attend all required meetings.

Qualifications

KNOWLEDGE, SKILLS, QUALIFICATIONS, AND ABILITIES
• Strong leadership and organizational skills
• Excellent communication (oral and written) skills
• General understanding of the overall operations of a physician owned practice
• Ability to collaborate cross-departmentally and effectively interface with all levels of members of the team, including staff, providers and senior leaders
• Ability to work in a fast-paced work environment subject to change
• Demonstrated proficiency in Electronic Health Record (EHR) and Microsoft Office products


JOB REQUIREMENTS
• Graduate of an accredited school of nursing with a current state license to practice as a Registered Nurse (RN)
• A minimum of 3 years of management experience in a clinic or hospital setting is required

  • Previous OB experience required

• Current Basic Life Support (BLS) certification


PHYSICAL DEMANDS AND WORK ENVIRONMENT
• Must be able to stand for 8 to 10 hours a day
• Requires regular walking, bending, pushing, pulling and lifting
• Must be able to lift at least 30 lbs
• Must be able to assist patients with transfers from chair to wheelchair, to exam tables, and back to wheelchair/chair
• Must be able to assist patient with turning/positioning on exam table
• Must be able to push patient in wheelchair
• Must be able to manipulate objects—reaching, grasping, handling
• Must exhibit good communication skills—understand, respond and translate into action
• Ability to delineate between numeric numbers
• Clinical setting; exposure to communicable diseases, bloodborne pathogens, medical preparations and other conditions common to a clinical environment.
