SUMMARY: Serving as an administrative support for the bookstore in various fields including: accounting and finances, inventory management, online Shopify sales, and internal merchandise distribution to locations. These responsibilities will include (but are not limited to) invoice reconciliation, investigating billing and inventory discrepancies, and receiving issues for all locations in tandem with the Director of Operations. The Bookstore Inventory Manager will also be responsible for accurate and organized storage of Busboys and Poets merchandise overstock and supporting supervisors with onsite stock, in addition to management of our online merchandise sales done through Shopify. This position will include floor shifts as needed at our retail locations, and will be responsible for supervisor float capacity as needed (in the event a location supervisor must go on FMLA, long term leave, etc).



  • Accurately and efficiently organize digital and physical invoices, credit memos, and other important financial documents such as (but not limited to) statements, change of address notices, etc. 

  • Assist the Director of Operations in invoice reconciliation for all vendors, including but not limited to books, sidelines, office supplies, etc. 

  • Assist with uploading confirmed invoices and credit memos to financial software, Xtrachef, with accuracy and care to ensure proper extraction

  • Managing Busboys and Poets merchandise sales done through the online platform, Shopify, as well as handling customer support if issues arise

  • Assisting the Book Buyer and Director of Operations with Busboys and Poets merchandise inventory management, which includes but is not limited to organizing stock, keeping accurate inventory counts and updating internal records, creating restock orders, and creating location specific restock pickups for supervisors and restaurant managers. 

  • Assist with retail floor coverage where needed/applicable

    • This includes in both Bookseller and Supervisor roles

    • Float capacity for Supervisor role in the event a location supervisor is out on FMLA or other long term leave with the expectation that they will return

  • Strong customer service and communication skills

  • Past retail, management, and/or bookstore experience required

  • Previous accounting/invoice reconciliation experience encouraged but NOT required

  • Compassionate and respectful conflict resolution skills

  • Enjoys working within a team but is self-motivated and able to work independently

  • Ability to establish and maintain an organized workspace

  • Bibliophile, or at least able to speak about literature and popular titles (both classic and contemporary)

  • High School diploma or equivalent - higher education beyond this is preferred but not required

  • Ability to stand and be mobile during an 8 hour shift

  • Ability to lift up to 50 lbs

  • Night and weekend availability is required for this position
