Description

One Line Job Description: The Facilities Coordinator provides administrative support to the Facilities Director and facilities and maintenance teams with daily office operations and needs.

 

Primary Responsibilities

Maintenance:

  • Onboarding of the maintenance staff
  • Schedule daily & weekly tasks for maintenance staff in Asana
  • Give a report to supervisor on the progress of daily/weekly tasks (compliant/non-compliant) 
  • Use Facility Maintenance Software (FMX) to schedule, track, and run reports (for repair costs, labor costs for repairs, & identify equipment being repaired frequently.) 
  • Assisting in identifying, planning and scheduling of routine repeating Planned Maintenance tasks either in house or subcontracted in the Facility Maintenance Software (FMX) 
  • Creating and updating the Weekly/Monthly/Quarterly/Yearly Preventative Maintenance Calendar in the Facility Maintenance Software (FMX)
  • Oversee FMX site; Follow up on open tickets and assign tasks to be completed
  • Collaborate with training of any administrative staff on submitting requests 
  • Assist in creating Standard Operating Procedures (SOP’S) for Maintenance work tasks. Attaching those to the associated planned maintenance tasks
  • Assist in updating and maintaining volunteer contact information for maintenance technician(s).

Facilities:

  • Onboarding of the facilities staff
  • Schedule daily & weekly tasks for facilities staff in Asana
  • Give a report to supervisor on the progress of daily/weekly tasks (compliant/non-compliant) 
  • Assist in the review of events and detailed setups to verify rooms, resources and equipment is being reserved correctly and in the correct usage in CCB. Thus communicating and collaborating with administrative staff for events and ministry needs to be submitted into CCB correctly.
  • Assist in communicating room/event setups daily and special needs to the Facilities Team.
  • Assist in creating Standard Operating Procedures (SOP’S) for Facilities work tasks. Attaching those to the associated planned facilities tasks
  • Assist in coordinating court-ordered community service requests 
  • Assist in updating and maintaining volunteer contact information for Facilities Team

Other Duties

  • Work assigned duties during “All Hands On Deck” events such as Christmas and Easter services
  • Other duties as assigned
Minimum Job Requirements
  • Active “All In Partner” at Pantano Christian Church
  • Excellent verbal and written communication skills
  • Office-related computer skills, including experience with common office software/programs and online applications
  • Ability to effectively utilize online communication, email and calendar tools
  • Ability to work productively without direct supervision
  • Ability to train staff effectively
  • Ability to work well and collaborate with team members, volunteers, and other staff
  • Experience with Mac and macOS required
  • Experience with Google Drive  including Google Docs and Sheets required
  • Experience with online task and scheduling systems a plus
  • Experience with FMX and Asana a plus
  • Experience with Microsoft Office Word and Excel a plus
