Summary

This is a shared role serving as an Accounts Payable & Receivable Clerk and as an HR Admin. This role is responsible for the company receivables and payables processing, facilitating daily transactions as necessary, assisting in financial reporting, and following current procedures to ensure correct accounting practices, as well as any daily tactical employee related issues.

Essential Duties and Qualifications

Essential Duties and Responsibilities

Human Resources

  • Coordinate and Onboard New Hires
  • Maintain Employee Records
  • Field Employee Questions and Concerns and Escalate as Necessary
  • Act as Liaison between Corporate HR and employee population for any HR initiatives and policies
  • Other duties as assigned by Supervisor

Accounts Receivable

  • Create Estimates for Sales Orders
  • Progress Invoicing
  • Creating credit memos
  • Processing customer payments including checks and credit cards
  • Daily reporting of payments to Sales and Project Management
  • Daily bank deposit
  • Weekly collections process coordinating with Project Management and ensuring highest level of customer service

Accounts Payables

  • Follows established 3-part AP approval process for all incoming invoices
    • Match invoices to Purchase Orders
    • Verify Item Receipt
    • Necessary signatures for payment
  • Process payables including cutting checks and mailing payments
  • Generate wire and ach payment requests for specified vendors
  • Enter payment details in bank treasury management portal (Positive Pay)

Additional Duties

  • Assist Accounting Manager in reporting requests from Corporate
  • Assist Operations Director in reporting requests
  • May be assigned additional accounting duties if capable
  • Responsible for filing of Accounting documents and contracts.
  • Other duties may be assigned by Manager or Supervisor

Education and/or Experience

  • At least 2 years’ experience in AP/AR including PO’s, Item Receipts, Estimates, and Progress Billing
  • At least 1 year of Human Resources experience as HR Generalist or Admin, Employee Relations or related experience preferred
  • Basic knowledge of accounting principals
  • Associates degree in Accounting preferred
  • Experienced in QuickBooks, MS Office, and strong internet skills
  • Must have the ability to communicate both orally and in writing; pleasant telephone manner; able to “think on feet” when dealing with customers & vendors
  • Customer service oriented “can do” approach to work.
  • Ability to act with discretion 
  • Detailed and task-oriented
  • Able to multi-task and handle fast-paced working environment
  • Superior organizational skills and accuracy
  • Excellent problem solving and people skills are required
  • Other duties as assigned by Supervisor

Ability to read and interpret documents such as rules, operating and maintenance instructions, and procedure manuals. Must have the ability to write routine reports and correspondence as well as be able to speak effectively before groups of customers or employees of the organization.

Must have the ability to define problems, collect data, establish facts, and draw valid conclusions.

 

Computer Skills

Demonstrated proficiency with QuickBooks, MS Excel, Word, and PowerPoint
