Summary

The Billing Specialist is a finance professional who works closely with Project Managers on specific programs and/or clients. The billing specialist has intimate knowledge of assigned customers with regard to how they prefer to see and receive invoices for completed work. The Billing Specialist will work within our Finance platform (Accumatica) as well as our enterprise platform (ServiceNow) and client specific portals. This role, in partnership with our project managers, ensures timely and accurate billing to our customers.

Job Duties

  • Attend initial project meetings with Project Managers to assure proper billing scope and site set up
  • Interact with customer to ensure invoicing format and timing are accurate
  • Maintain accurate billing notes in Service Now and Acumatica
  • Monitor open projects for current week completion dates, determine if all items needed for billing are complete and follow up with Project Managers as necessary
  • Meet with Project Managers weekly to determine if projects are ready for invoicing
  • Place projects ready for billing in billing queue and create invoice daily as soon as they are queued
  • Submit the invoice for review and/or submission

Work Experience & Education

  • High School diploma and at least 3+ years’ experience in billing
  • Proficient in Microsoft Office Suite (Excel, Teams, Outlook)
  • Superior customer service skills
  • Ability to multi-task and prioritize workload in a fast-paced environment
