General Qualifications

 

The Guest Services Coordinator is Ministerial position. Ministerial staff render their work, stewardship, relationships and behavior as evidence of being followers of Jesus Christ while embracing and affirming Mount Hermon Association, Inc.’s (“MHA”) Christian mission, vision, beliefs and standards of conduct. They are responsible for defining, cultivating and leading MHA’s Christian community, conference programs and retreats. All staff join into our community life of prayer, worship, and spiritual activity, including but not limited to staff meetings, attendance at programs, Bible Study and staff gatherings.

 

Position Objective

 

The Guest Services Coordinator is responsible for the planning, coordination of details, reservations, communications, and hosting of assigned events (conferences, retreats, camps, meetings, banquets, etc.) taking place at Mount Hermon, to ensure a seamless and enjoyable event experience for guests and group leaders.

 

Key Job Accountabilities

 

  • Serve as a main point of contact for event leaders, assisting them and guests during their stay, by providing answers to questions, helping with directions, setups, check-in, general administrative services, etc. 
  • Develop and nurture relationships with guest group leaders, planners, and church staff to ensure confidence and trust in the planning process.
  • Be the liaison for event leaders and MHA staff to ensure that communications are accurate and clear, and that plans stay in motion for assigned events. This includes generating Booked Event Orders (“BEO”), notifying appropriate staff of any changes or requests made by the retreat group, representing events at Guest Services logistics meetings, answering questions and/or problem solving.
  • Review the Booked Event Order (BEO) and be present for the BEO meetings.
  • Give official greeting and closing to each retreat group.
  • Check and confirm room set-ups, refreshment breaks, special requests, and meals.
  • Give tours to prospective guest group leaders as directed by the RES Manager to assist in the development of new ministry partnerships.
  • Assist the Sr. Director of Guest Services in developing and implementing strategies for acquiring new events and maintaining a full calendar of activity. Continually coordinate with leadership staff- offering any assistance or improvements.
  • Other duties as assigned by manager.

Education

 

  • High School diploma, B.S./B.A. degree preferred.

 

Work Experience

 

  • Event planning and administrative experience – preferably in Christian camping/hospitality – or any combination of equivalent training, education and experience.

Physical Demands

 

  • The physical environment requires the employee to work both inside and outside in heat/cold, wet/humid, and dry/arid conditions.  Requires typing, sitting, standing, squatting, stooping, twisting, and the ability to lift/carry 50 lbs., etc.

 

Additional Requirements/Skills

 

  • Must agree to and comply with MHA’s employee driving guidelines for MHA-owned vehicles and personal vehicles for business purposes.
  • Adherence to the basic principles as expressed in Mount Hermon’s Mission, Vision, Values and Commitment statements.
  • Ability to work weekends and holidays throughout the year.
  • Ability to work overtime.
  • Adherence to company dress code and professional standards for personal grooming and appearance.
  • Satisfactory completion of background investigation as well as ability to provide proof of eligibility to work in the United States.
