Description

Summary 
DWC’s mission is to end homelessness for women in greater Los Angeles through housing, wellness, employment, and advocacy. The Programs Coordinator works closely with and supports the role of the Chief Program Officer in implementation and development of programs. Responsibilities include administrative assistance, such as correspondence, scheduling, managing the Chief Program Officer’s calendar, coordination of meetings, obtaining supplies, preparing agendas and taking meeting minutes. As well as working on special projects to support program development across the agency, including research, policy and procedure development, group coordination, and presentation preparation. This role requires a highly resourceful individual with a high degree of emotional intelligence, self-motivation, professionalism, excellent written/verbal communications skills, and exceptional analytical skills to prioritize and organize diversified workload.

Essential Functions

  1. Coordinates activities of the Advisory Board, Board of Directors committee meetings, including confirming attendees, and other meeting arrangements.
  2. Prepares agendas and takes meeting minutes.
  3. Conducts research on emerging best practices in homeless services program development.
  4. Prepares Board Reports and Board Dashboard.
  5. Leads the Culture and Community Taskforce in coordination of all-staff activities.
  6. Works closely with the Programs Leadership Team on coordination of program activities.
  7. Oversees the Peer Leaders volunteer program for DWC residents and participants.
  8. Manages the calendar of the Chief Program Officer and meeting coordination.
  9. Serves as a liaison with community partners and stakeholders and is an ambassador of DWC.
  10. Assist with social media content.
  11. Acts as project manager for special projects, at the request of the Chief Program Officer.
  12. Assists with training and presentation preparation.
  13. Develops forms and templates as needed.
  14. Completes monthly programs expense reports and credit card reconciliation.
  15. Completes monthly supply orders.
  16. Assist with quality assurance monitoring, as needed.
  17. Assist with completing offsite tasks.
  18. Other duties as assigned.

Supervisory Responsibility 

This position does not have supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This role will occasionally be required to utilize personal transportation to perform offsite tasks.

While performing the duties of this job, the employee is regularly required to talk and hear.  The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.  This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.    

Position Type and Expected Hours of Work 

This is a full-time position, and hours of work and days are Monday through Friday, 9:00 am to 5:30 pm.

Travel 
No travel is expected for this position. 

Qualifications

Required Education and Experience 

  1. Bachelor’s Degree, preferred
  2. Administrative experience, preferred
  3. Experience creating agendas and taking meeting minutes, preferred
