This position is responsible for computing, classifying, recording, and verifying numerical data for use in maintaining accounting records by performing the following duties.

Essential Duties

  1. Enters invoices for AP in a timely manner, monitor upcoming invoice due dates, monitor shipping/sales tax on invoices; ensure invoice accuracy; includes new vendor setup with W-9 and ACH information and monthly reconciliation of all vendor accounts.
  2. Responsible for reviewing, tracking, and uploading monthly expense reports and labor allocation. Also, responsible for entering banking transactions.
  3. Serve as backup for AR in setting up projects, sales orders & invoicing customers; monitor customer accounts and perform follow-up on payment status .

Job Duties

  • Takes ownership of the AP inbox which includes keeping the inbox up-to-date and organized. Responding to vendors questions and payment inquiries in a timely manner


  • Assists in maintaining financial records and ensuring that financial transactions are properly recorded.


  • Researches any unusual item/number within accounting system.


  • Assists in compilation of financial data to aid in the preparation of balance sheets, profit and loss statements, and other financial reports.


  • Audits W9s annually and completes 1099/1098 filings.


  • Communicates internally regarding payables to ensure proper payments are completed.


  • Prints and reconciles statements from vendors to ensure accuracy.


  • Keeps track of warranty invoices and credits.


Completes accurate weekly AP report and documents any follow-up notes from the Controller and/or vendors.


  • Tracks monthly recurring bills and initiates payments.


  • Assists with file clean-up project, as needed.


  • Maintains punctual, regular and predictable attendance.


  • Works collaboratively in a team environment with a spirit of cooperation.
  • Respectfully takes direction from manager.
  • Other duties as assigned.

Education & Experience

Bachelor's degree (B.A.) from four-year college or university in Accounting, or three to five years related experience and/or training, or equivalent combination of education and experience.

Language Skills

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.
