What you'll be doing:

The Assistant Property Manager will assist in the management and supervision of property / facility management services for Two Wells Fargo Center and Three Wells Fargo Center and other properties assigned to this portfolio. The main areas of responsibility will include support of building operational management, financial/accounting management, direct and indirect tenant support and other duties as assigned.

 

What you'll be responsible for:

  • Operations and Vendor Services Management and Administration
    • Assist in overseeing the following vendors and contractors to ensure services meet contract specifications, regulatory requirements, LEED compliance, and are provided in accordance with Class A standards. Perform weekly property inspections in support of these goals:
    • Janitorial: including scheduled office cleaning, general building maintenance, floor cleaning, restroom and exterior cleaning to ensure all standards and specifications are met on a regular basis. Assist in the coordination of one-time cleaning services under both normal and emergency circumstances as needed.
    • Elevator systems: conduct routine evaluations of the performance of the systems. Follow up on annual state service inspections to ensure vertical transportation quality and that all installation and operation of elevators and escalators are compliant with state regulatory codes.
    • Cleaning programs for stone, metal and wood finishes
    • Waste management and recycling programs
    • Pest control services
    • Interior and exterior landscaping and seasonal color to enhance the overall aesthetics and enjoyment of the building
    • Perform weekly property inspections in support of supervising these vendors and create work orders to correct any deficiencies found.
  • Project Management and Administration
    • Assist in building construction projects and tenant up fits, including the following:
    • Participate in the selection and oversee the services of architects, contractors and suppliers.
    • Maintain proper documentation of all construction activity, including construction drawings and tenant correspondence.
    • Follow through with complete documentation for area calculations and a final set of accurate construction drawings and documents for project closeout.
    • Provide support in the area of project administration and project-budget related funding including:
    • Attend bi-weekly team meetings for project status updates and receive updates from facility and project managers as appropriate.
    • Document review and internal workflow initiation for Asset Preservation Projects (APP)
    • Assist with APP planning, reporting, and upload
    • Back up the CCC FMA II as necessary to create and send bi-monthly AP Project Portfolio List and provide project administration support as needed
    • Back up CCC FMA II to maintain the internal expense project report
  • Contract Administration
    • Contracts and Forms - Review contract forms for accuracy and completion and initiate internal workflows
    • Sourcing - Serve as a liaison between facility management and CK Sourcing to assist with resolution of contract questions and issues.
  • Communications
    • Provide primary back up support to the Building Communications Program by helping to maintain the CBD tenant contact list, send Building Notices in the absence of the Facility Services Manager, draft notices for distribution under the direction of the Central Campus Facility Managers, and assist with bi-annual tenant contact update initiatives
  • Financial Administration
    • Assist in preparation of building operating expense and project budgets and monitor expenditures for all service contracts.
    • Assist with account payable process in accordance with divisional and corporate guidelines. Duties may include: purchase order creation, receipt documentation, invoice payment and research.
    • Assist with account receivable process in accordance with divisional and corporate guidelines. Duties to include: processing monthly billing of pro-rata share shared expenses, tenant utility allocations and above standard service billing.
    • Assist in monthly budget variance analysis and forecast duties; prepare and provide financial reports and justifications to managers and owners as necessary.
  • Tenant and Occupant Relations
    • Proactively assist in managing the building to minimize customer complaints; work to resolve all inquiries as quickly as possible.
    • Assist the Childress Klein leasing team in marketing the property to prospective tenants, including preparing vacant spaces for showings and enhancing common areas and amenities.
    • Assist with the review, interpretation and enforcement of tenant leases.
    • Manage quarterly advisory meetings to include preparing agendas, attending meetings and preparing minutes for distribution; participate in customer relations activities, events and meetings as needed.
    • Maintain wayfinding signage and assist in managing facility website.
  • Special Events Support
    • Assist in oversight of special events in the Atrium, Connections, and Wells Fargo Auditorium
    • Assist with quality check of all daytime event setups
    • Assist in inventory control of special events equipment

What we need from you:

  • A Bachelors degree from a four-year college or university; one or more years of professional experience, preferably in the real estate industry; or an equivalent combination of experience and training. Certification in an industry specific organization preferred.
  • Intermediate to advanced computer skills, including use of Microsoft Office, Outlook, Share Point and Windows operating systems.
  • The ability to read, analyze and interpret technical instructions, financial reports, legal documents and construction drawings and documents.
  • Must be able to effectively communicate with government agencies and members of the organization to accomplish work activities; coordinate operational activities with external stakeholders
  • Must possess the ability to effectively communicate (both oral and written) with clients, tenants, supervisors, subordinates, vendors and other divisions.
  • Ability to present a professional and positive image at all times, encourage and build mutual trust, respect, and cooperation among team members.
  • Ability to define problems, collect data, establish facts and draw valid conclusions from multiple variables. Ability to interpret technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. Considering the relative costs and benefits of potential actions to choose the most appropriate one.
