What you’ll be doing:

The Senior Property/Facility Manager will oversee the property management and occupant services for a 1.3 million square foot office building and related retail properties located in uptown Charlotte, in support of a large financial services client. The main areas of responsibility will include oversight and support of in-house resources and third party service vendors to provide commercial facility management services, capital and project improvements, budgeting, and overall financial management. This position will report to the Regional Director of Facility Management.


What you’ll be responsible for:

  • Oversee the operations of the building to ensure proper maintenance, cleaning, and security services are being performed. Direct in-house employees in each department and subcontracted service vendors as needed to achieve owners’ objectives. Perform regular inspections of the facility to ensure satisfactory services are being rendered.
  • Be the primary relationship manager with the owner’s portfolio manager and provide reports and updates as necessary.
  • Ensure compliance with procedures for establishing contracts and ordering materials. Approve all service contracts and other expenses.
  • Establish tenant relations procedures and maintain regular contact with all tenants of the building. Monitor feedback obtained by the tenant services coordinator and operations managers via the work order system, tenant questionnaires, routine visits, etc.
  • Oversee proper handling of insurance claims, including settlements when applicable.
  • Ensure compliance with procedures for filing and documentation of critical information.
  • Provide assistance to owner’s Design and Construction team with regard to interiors construction, including support and facilitation of efforts by Project Managers. 
  • Review leases, as needed, upon presentation from the leasing staff; commence and terminate leases, and approve all adjustments to rent.
  • Prepare reports on income and expenses on a monthly basis or as needed. 
  • Prepare and approve income and expense budgets, and budget for and monitor all capital expenditures.
  • Prepare facility management reports monthly and other internal and client reports as needed.
  • Responsible for facility management staff and indirectly responsible for employees performing work on the Help Desk, Project Management, Engineering, and Security services teams.

What we need from you:

  • A Bachelor’s Degree in real estate management, business, construction, or a related field from an accredited college or university, a minimum of five years of professional experience, preferably in a commercial real estate management environment, or an equivalent combination of education and experience.
  • RPA, CFM or CPM designation; LEED Accredited Professional (AP) or Green Associate (GA) highly desired. Candidate must be willing pursue these as part of the training required for the position. Membership in BOMA, IREM or IFMA is encouraged.
  • A high degree of proficiency in computer technology and applications typically used in real estate management such Microsoft Office Suite, accounting software, work order systems, and other technology tools; intermediate to advanced knowledge of Share Point preferable.
  • Excellent communication skills, both verbal and written, and ability to effectively communicate with superiors, vendors, tenants, various facility management personnel and the general public.
  • Ability to read, write, analyze, and interpret contracts, leases, construction drawings, financial reports, and legal documents.
  • Strong teamwork skills and be able to motivate others, instill confidence in teammates and customers alike, and provide corrective direction effectively.
  • Ability to respond in a professional and appropriate manner to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to resolve conflict, negotiate business agreements, and enforce existing agreements without disrupting customer/client relationships.
  • A superior grasp of the English language and be able to use and apply advanced language principals involving grammar and punctuation.
  • A solid grasp of financial and mathematical practices commonly deployed in the real estate industry such as budgeting, variance reporting, capitalization, amortization, space measurement, operating expense gross ups, rent allocations, and other mathematical concepts involving addition, subtraction, division, multiplication, fractions, percentages, ratios, and proportions.
  • Able to tolerate uncertainty and lack of clear or consistent guidelines while applying sound judgment to achieve company or client objectives.
