Under the direction of the Sr. Director of Human Resources, the Onboarding Specialist works to ensure timely, compliant, thorough, and consistent onboarding of new hires. As the primary contact pre and post offer, the Onboarding Specialist is a vital role for a smooth onboarding and orientation experience. The Onboarding Specialist will provide administrative support to the Human Resources Department as needed.


  • Create and send offer letters, conduct all background checks, and required information once contingent offer has been accepted.
  • Create and send acceptance letters to Interns and Volunteers, conducting all background checks, and required information.
  • Conduct all background checks for applicable ICs.
  • Serve as point of contact for new hires regarding pre and post offer inquiries re: Employee Orientation, schedule, etc.
  • Craft and send emails with information about the company and position, including work schedules, dress code etc.
  • Responsible for sending out hire communication with the appropriate Manager, leadership, and IT personnel.
  • Prepare onboarding kits (e.g., applicable paperwork, swag)
  • Serve as Presenter for all Employee Orientations. Helping new hires learn the company policies, showing new hires their job duties.
  • Schedules start dates for new hires gathering the necessary paperwork
  • Work with ERM to coordinate Beyond orientation (e.g., Soft Skills and Position Training, New Hire Next Steps and training program onsite etc.)
  • Create Paycom employee profile for new hires.
  • Welcome new employees upon their arrival and give them an office tour; Introduce team members.
  • Contacting the technical team for arranging hardware and software for the new employee.
  • Preparing onboarding email templates for the employees.
  • Staying up to date with innovative and creative ways of onboarding new employees.
  • Address any background issues with HR Director to determine candidate status.
  • Coordinate and review all reference checks via Paycom or otherwise.
  • Prepare designated departmental weekly, monthly, and quarterly reports as directed.
  • Send biweekly report to payroll outlining new hires, terminations and transfers.
  • Process I-9 and E-verify for new hires.
  • Create and maintain employee files.
  • Keep an active listing of onboarded and onboarding employees.
  • Keep track of employee changes and update their files accordingly.
  • Assist all staff with any Paycom issues (password reset, unlocks).
  • Regularly update Paycom with time changes (hardware clock access vs. hardware only) and implement "all staff" changes.
  • Create ID templates and print ID badges.
  • Take photos of each staff member for ID.
  • Upload staff photos into Paycom.
  • Conduct bi-annual file and e-file audits.
  • Input BPHN Drivers' licenses into LENS DMV Database and track regular updates.
  • Ensure applications are completed by all active candidates.
  • Walk New hires through onboarding and training process.
  • Build strong relationships with internal managers and external sources.
  • Work with Paycom personnel to troubleshoot any issues, including setting and resetting clocks, etc.
  • Performs other related duties as required and assigned.



  • Bachelor's degree in Human Resources or related field preferred.
  • 1 to 3 years of prior experience in HR/Recruiting/Administration required.
  • Prior experience as an HR Onboarding Specialist is a major plus.
  • Technical proficiency in Microsoft Office and willingness to learn additional software as needed such as Paycom.
  • Working knowledge of HRIS systems.
  • Knowledge of Recruiting, HR concepts, policies and procedures.
  • Enthusiastic approach to improving process efficiency.
  • Must be proactive, and a resourceful teammate, with a can-do attitude.
  • Succinct, clear, and professional communicator.
  • Display sound judgement and prioritizing skills.
  • Have passion and enthusiasm for bringing great talent into Bronx Parent Housing Network.
  • Ability to remain calm, cool, and collected while managing many important tasks simultaneously.

POSITION SCOPE: Employee is responsible to assist with agency wide development and implementation of HR related policies, procedures and programs.


PROBLEM SOLVING: Independently works through routine problems, determining solutions from established standards or procedures.


KNOWLEDGE: Duties require a thorough understanding of HR concepts, policies and procedures.


FISCAL RESPONSIBILITY: Makes routine low-cost expenditures, as determined by department need or designated by supervisor.


CONTACTS: Works primarily with staff within department, Chief Administrative Officer, and Department Heads.



Ability to travel locally using public transportation. Required to speak clearly and hear the spoken word well. Required on a regular basis to be prepared to utilize appropriate techniques to ensure consumers safety. Required to utilize near vision to read data and other documents including spreadsheets and reports in printed form or on computer screens. Regularly required to move fingers, wrist and arms in a repetitive manner to operate office equipment.
