As an Administrative Assistant you will be responsible for supporting the Leadership of Women and Children’s Ministries (WCM), which includes administrative support duties, calendaring, file/report management, office maintenance responsibilities, expense reporting, and project work.  Leadership team includes site directors at three locations that may require off site visits.  You are responsible for being part of a team of staff to help create a safe, healing environment for women and children in Christian programs of the mission.

 

Responsibilities

 

  • General administrative duties, which includes typing, filing, transcribing, proofreading, maintaining databases, ordering supplies and drafting correspondence.
  • Assist with completion of monthly reports, including collection and analysis of data.
  • Review and summarize reports and documents; prepare documents and outgoing mail as required.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • Assist in the compliance auditing of guest files (e.g. income verification, imported information into Clarity).
  • Assist in coordinating special events and meeting set-up.
  • Take notes at weekly staff meetings.
  • Participate in organizing events and tours.
  • Direct and assist donors and visitors.
  • Organize and update staff records and manage staff appreciation activities.
  • Assist in managing the office of the Director of Women and Children’s Ministries, which includes handling phone calls, taking messages, scheduling, expenses, mail, and email.
  • Manage weekly sustenance for the guests at Hope Place.
  • Collaborate with other Executive Assistants throughout the Mission as needed.
  • Uphold the guidelines of WCM, confronting guests and leading them to self-evaluations when necessary.
  • Help maintain a positive, pleasant and Christian atmosphere at the WCM while participating in its grace-based ministry.
  • Promote spiritual health at the WCM by presenting a godly demeanor in interactions with residents, callers, visitors, and donors.
  • Attend all Mission meetings and training sessions, as required.
  • Any other job-related duties as assigned by supervisor.
  • Minimum of AA/AS or equivalent years of experience required.
  • Minimum of one-year experience of administrative support or equivalent required.
  • Previous experience in a rescue mission, addiction recovery, or social services context strongly preferred.
  • Proficient with Microsoft Office Suite – High proficiency in Microsoft Word, Excel, and Outlook required.

Qualifications & Experience

 

  • Minimum of AA/AS or equivalent years of experience required.
  • Minimum of one-year experience of administrative support or equivalent required.

Work Environment

 

While performing the duties of this job, the employee is frequently required to sit for long periods in a temperature-controlled environment.  Occasionally will stand, balance, twist, stoop, kneel and reach with hands/arms.  Occasionally lifts up to 20 pounds and walks, use stairways to climb to multiple floors within the company.  Specific vision abilities required by this job include close vision, color vision, distance vision, depth perception, and ability to adjust focus.
