The position of the Alumni Engagement and Events Associate is integral to the success of The Westminster Schools advancement program. This highly organized, detail-oriented, and confident team member will assist with executing events sponsored by the Office for Institutional Advancement including alumni, stewardship, campaign, and donor events. Under the guidance of the Assistant Director of Alumni Engagement and Events, the Associate assists with the creation, execution, and follow-up for events that advance the strategic initiatives of Westminster and deepen the Schools relationships with its constituencies.

Position Status: Salaried, non-exempt, full-time, regular, 12-month

Hours of Work: Monday through Friday and the core hours are 8:00 a.m. to 4:30 p.m. Occasional evening and weekend work may be required as job duties demand.



  • Assists in the execution and provides logistical and clerical support for all events as directed by the Assistant Director.
  • Manages and creates event marketing materials including but not limited to invitations, emails, programs, and signage in coordination with the Communications team, as appropriate.
  • Oversees the organization and preparation of event related materials including invitation lists, mailings, nametags, etc.
  • Manages event registrations, RSVPs, programs, vendor payments, project timelines and deliverables, etc.
  • Builds and maintains relationships with venues and vendors such as: catering, tenting, audiovisual and decor.
  • Following each event, memorializes the list of attendees, develops post event recap, coordinates and implements post event follow up and ensures all data is captured in our constituent database.
  • Organizes and maintains office inventory of alumni and advancement event supplies and gifts.
  • Works in collaboration with the entire Westminster community including Office for Institutional Advancement, Facilities, Risk Management, Technology, Catering, Volunteers, and Presidents Office to execute events.
  • Performs other duties as assigned.

  • Bachelors degree required.
  • Minimum of one year experience in event planning or support.
  • Team player with a positive attitude, collaborative and proactive approach.
  • Polished communication and interpersonal skills; ability to work and communicate effectively with diverse constituents.
  • Flexible, energetic, and creative professional with ability to work well with others.
  • Extremely organized and detail oriented.
  • Strong computer skills, including high competency in Microsoft Office and Google suite software and proficiency with project management software (preferably ASANA).
  • Self-motivated and ability to work independently and take initiative to meet deadlines in a time-sensitive and fluid environment with attention to detail and accuracy.
  • Demonstrated ability to work as an effective team member and manage multiple projects in a fast-paced environment.



While performing the duties of this job, the employee is occasionally required to to remain in a stationary position for long periods of time; occasionally move about inside the office to access file cabinets, office machinery, etc.; operate a computer and other office productivity machinery; ability to traverse over rough, uneven, or rocky surfaces. The employee must occasionally lift or move up to 20 pounds.

While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces.



Occasional out-of-area and overnight travel is expected.
