The Opportunity.

The Office Manager is a part-time (20 hours per week), non-exempt position based at the Hilltown Land Trust (HLT) main office in Ashfield, MA. Occasional work will occur at The Trustees office in Florence, MA or other nearby locations. This is primarily an office-based position, though candidates with interest may take on more responsibilities such as assisting with property monitoring and management and planning educational events as time allows.

Hilltown Land Trust is an affiliate of The Trustees that serves 13 rural towns in western MA. The HLT Office Manager will join a team of two Hilltown Land Trust staff and two TerraCorps members.

 

In this role you will:

  • Process donations including data entry, thank you letters, and assigning donor stewardship tasks

  • Reconcile monthly bank statements with donor database

  • Process invoices for payment

  • Prepare annual 3ABC forms to ensure tax exempt status of HLT-owned land

  • Schedule and send reminders for HLT board and committee meetings

  • Assist with selection, orientation, and training of TerraCorps members annually (scheduling interviews, administrative paperwork, orienting new members to HLT systems and properties)

  • Work with HLT staff and Board Secretary to ensure compliance with Land Trust accreditation standards including schedule for updating organizational policies

  • Order office supplies

  • Open and distribute mail

  • Support HLT’s TerraCorps Land Steward to ensure that proper report filing and data entry is completed for all conservation lands

  • Support HLT’s TerraCorps Community Engagement Coordinator with logistical components of event planning

  • Organize paper and electronic files and dispose of materials according to recordkeeping policy

  • Maintain press clippings file folder in office

  • Help board and committee members access HLT electronic files

  • Respond to general email inquiries

  • Complete other tasks based on organizational needs and candidate interests.

 

Other Information:

 

Required Qualifications

  • 2–3 years administrative/office work experience

  • Able to work independently and as a member of a team

  • Familiarity with Microsoft Office programs

  • Experience training and managing volunteers

  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment

 

Desired Qualifications

  • Bachelor’s degree or higher

  • Experience training and managing staff or interns

  • Familiarity with Little Green Light or similar donor databases

  • Experience using Facebook, Instagram, and other social media platforms for an organization

  • Experience with WordPress

 

Compensation and Benefits

The Hilltown Land Trust Office Manager will be an employee of HLT’s affiliate The Trustees. This is an hourly position paid based on hours worked. The position is intended to be part-time (20 hours per week) and will receive pro-rated vacation, sick, personal, and holiday leave time for a part-time position. The position is not eligible for health or dental benefits.
