Summary & Essential Job Functions

The  Billing Accounting Specialist performs duties following established procedures in the following areas: payroll, billing, cash receipts, AR records maintenance, and AR collections.  Performs other accounting functions as necessary.

ESSENTIAL JOB FUNCTIONS

PAYROLL

  1. Responsible for analysis and coordination of company payroll and timekeeping activities, including complicated or manual corrections, and the reconciliation of payroll to benefits.
  2. Along with the Senior Staff Accountant and HR Specialist/Benefits Analyst, reconciles payroll deductions with employee receivables.
  3. Responsible for communicating and explaining payroll and timekeeping policies to the leadership team and employees as needed.
  4. Responsible for maintaining current and new regulatory and legislative knowledge that impacts payroll and adheres to federal and state payroll guidelines.
  5. Maintains and documents employee payroll changes.
  6. Maintains gift card acquisitions and reporting.

BILLING AND ACCOUNTS RECEIVABLE

  1. Executes all invoice billing transactions and ensures invoices are sent to customers.
  2. Applies customer payments.
  3. Makes adjustments to accounts as needed.
  4. Ensures Account Receivables are followed up timely and appropriately.
  5. Notifies CFO of non-timely or other collection issues.
  6. Researches payment discrepancies and performs follow-up and collection of delinquent accounts.
  7. Prepares and reconciles monthly aging of accounts receivable.
  8. Performs month end accounts receivable functions and prepares month end reports.
  9. Maintains and files all accounts receivable records.

 

ACCOUNTS PAYABLE

  1. Performs data entry for medical claims.
  2. Matches invoices and purchase orders from e-Requester and integrate into accounting system.
  3. Mails accounts payable checks.
  4. Performs other accounts payable activities as required and assigned.
Qualifications and Behavioral Competencies

QUALIFICATIONS AND PHYSICAL DEMANDS

  1. Undergraduate degree and a minimum six to eight years of payroll and general accounting experience.
  2. American Payroll Association certification preferred (FPC or CPP).
  3. Detail oriented, organized, excellent tracking/reporting skills, effective written and verbal communication.
  4. Microsoft Office proficiency required.
  5. Must maintain a valid driver’s license in accordance with MTN motor vehicle policy.  Must have reliable personal automobile transportation to be used with company reimbursement using IRS guidelines.  Must be able to travel within the service area by ground or air.
  6. Ability to lift 50 pounds and transfer short distances.
  7. Possess manual dexterity sufficient to operate telephones, computers and office equipment.
  8. Ability to speak and communicate clearly in order to accurately convey information in person or by phone.
  9. Ability to hear at normal audio levels of speaking whether in person or over the phone.
  10. Vision correctable to 20/40.
  11. OSHA Category III – No exposure to bloodborne pathogens while performing assigned job duties.
  12. Home internet and wireless phone access may be required.
