PART-TIME JOB DESCRIPTION

JOB TITLE: CLERK AIDE I

POSITION SUMMARY

Under genral supervision from the Recreation Supervisor direct supervision from the Customer Service Supervisor, performs a wide variety of front desk clerical duties and related work as required related to document production, telephone system operations administration, public service operations and related work as required.

DISTINGUISHING CHARACTERISTICS

The Front Desk Clerical in the Hayward Area Recreation and Park District performs a variety of clerical work including activity registration and facility reservation on the Districts registration and reservation software. Also includes typing, filing, acting as a receptionist, answering telephones, processing mail, operating office machines, maintaining informational and operational records, compiling routine reports and doing related work as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Incumbents may not perform all duties. Duties include but are not limited to the following:

  • Maintains good public relations

  • Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)

  • Greet and welcome customers

  • Answer questions and address complaints regarding programs, parks and rentals

  • Answer all incoming calls, answer questions, redirecting or taking messages

  • Having the knowledge of our programs, to assist patrons with determining, which programs best, meets their needs

  • Assist customers with registering for classes, booking facility rentals, or purchasing memberships

  • Receiving and distributing letters, packages etc.

  • Prepare outgoing mail by drafting correspondence, securing parcels etc.

  • Check, sort and forward emails

  • Monitor office supplies and place orders when necessary

  • Keep updated records and files

  • Attend trainings and meetings

  • Maintains records of participation and completes required reports

  • At all times, demonstrates cooperative behavior with colleagues, supervisors and the public

  • Performs other duties as assigned

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential duties and responsibilities of this position. The functions of this position are primarily performed indoor locations as part of a team. Incumbents must wear an appropriate business casual attire with identification and protective equipment. Specialized aspects of the work environment may also include high noise levels, working with participants, and risk of exposure to cleaning agents. Incumbents may be assigned a regular or irregular working schedule including weekends, early mornings, evenings and holidays and may have to travel between various locations.

While performing the duties of this job, the employee is regularly required to have: hearing and speech adequate to communicate in person, by telephone, by PA system and by radio, and to speak loudly in a noisy setting; vision adequate to clearly distinguish objects; bodily movement adequate to frequently sit, stand, walk, jump, climb, reach, turn, bend, squat, stoop, kneel, crawl, and push/pull; ability to raise arms above shoulder height; manual dexterity adequate to grasp objects, use fine manipulation, write and operate office machines and equipment; strength and endurance to perform lifting and carrying of items/persons up to 50 pounds.

MINIMUM QUALIFICATION REQUIREMENTS

  • Provide verbal and written information to a wide variety of people and officials

  • Operate telephones, fax machines and copiers

  • Operate personal computers and output equipment with enough speed, agility and manual dexterity as to be able to produce final, error-free copy within prescribed timelines

  • Operate District standard software word-processing and spreadsheet applications (Microsoft Word and Excel) and registration software or ability to become competent at the applications

  • React quickly and calmly in emergencies

  • Understand and carry out oral and written instructions

  • Communicate effectively with a wide range of people

  • Respond appropriately to changing situations and stressful conditions both on the phone and in person

  • Maintain cooperative relationships with those contacted during the work

Knowledge of:

  • Business composition, spelling, grammar, punctuation, and general recreation terminology

  • General organization of policies and procedures applicable to centralized administrative office support functions

  • File organization, maintenance and retrieval systems

  • Automated and manual record keeping methods and formats

Education/Experience/Training:

  • Must possess a High School diploma or equivalent

  • Recent experience in clerical work or with recreation registration software; or completion of an approved clerical training course is desired

  • Any combination of experience, training and/or education that provided the required knowledge, skills and abilities of the class is acceptable

Special Requirements:

  • Must be at least 18 years of age

  • Must pass a fingerprint and/or background clearance prior to employment

  • Provide proof of negative TB Skin Test

  • Bi-lingual desirable

  • A valid California Drivers License is required

  • Verification of ID and ability work in the USA
