Description
  • Ensuring quality customer services.
  • Engage and assist individuals as they present to the clinics or by phone, with good judgment as to their needs.
  • General knowledge of Daily Business Operations, able to provide coverage for front desk operations.
  • Maintain professionalism and courtesy to create a positive and welcoming environment for individuals served and peers.
  • Opens and closes facility, ensuring lobby and restrooms are empty before locking the door at the end of the day.
  • Collect identification and demographic information from individuals presenting for services.
  • Collect financial information, to include benefit information, from individuals presenting for services.
  • Verifies Medicaid eligibility upon individuals request for services, assists with obtaining Medicaid approval/denial.
  • Obtains DMH Member ID and DMH eligibility for individual as applicable.
  • Create new charts or episodes in EHR, depending on if individual was previously a client.
  • Process paperwork associated with screening, intakes, treatment plan, annual updates etc.
  • Scanning all required documents appropriately into EHR.
  • Assists with finding clinical staff to complete screenings or crisis walk ins.
  • Schedule all outpatient appointments for both clinical and medical, taking into consideration circumstances and urgency.
  • Calls individuals to remind them of scheduled appointments.
  • Verify address, phone number and benefit information with each individual as they check in for services.  Ensuring most up-to-date information is captured in EHR.
  • Annually, at minimal, will collect and update demographic and financial information from active individuals receiving services.  Completing all associated documents and ensure EHR is updated accordingly.
  • Assist clinical and medical staff as needed.
  • Collect deductible and co-payments and writes receipts.
  • Distributes received faxes
  • Assist with processing incoming and outgoing mail.
  • Types correspondence as needed.
  • Maintains medication closet, ensuring compliance with medication protocol, verifying delivery of medications with manifest.
  • Processes pharmacy pre-package medication sacks to individuals as they present to the office to pickup medications, utilizing the pharmacy’s RX Pickup Engine.
  • Collects medications co-pays, writes receipts for pharmacy
  • Notifies nurse of discrepancies on medications pre-packaged by pharmacy or individual’s rejection of pre-packaged medications. 
  • Return all medication not picked up or refused to the pharmacy according to protocol.
  • Processes POI Information for DMH consumers
  • Complete Patient Assistance Program applications and send to the pharmacy in a timely manner.
  • Print DALs for Dr. and Nurse each day; compare to medication manifest, and pull meds with each appointment
  • Orders supplies as needed from Pharmacy
  • Forwards medical records request in a timely manner to Medical Records Office, ensuring ROIs are completed entirely and accurately.
  • Verification of benefits using OHCA website for Medicaid and DMH eligibility and identifying any private insurances.
  • Completes Insurance Verifications through Availity or calling the individual insurance company.
  • Adheres to safety policies and practices.
  • Willing to complete Therapeutic Options and CPR/First Aid/AED training, unless physically incapable.
  • Performs other reasonably related duties as assigned by the immediate supervisor or other management as requested.
  • Participates in staff meetings as needed.
  • Must be willing and able to perform all job-related travel normally associated with this position.
  • Regular and predictable attendance is an essential job requirement.
  • Must meet “satisfactory” expectations at any scheduled job performance evaluation.
  • Quality of work will be evaluated through training, skill, or special purpose.  Must be competent and adequate.

 

Qualifications

Requires a High School Diploma or equivalent and at least two (2) years experience in a previous receptionist/clerical position. Must be able to perform in data entry and possess knowledge of Windows and Microsoft Applications. Must have experience in multi-tasking, prioritizing and possess the ability to work independently. Valid driver's license required.
