About You and The Role

You are a self-driven administrative professional seeking an opportunity to contribute broadly to the overall administrative and marketing teams.  You enjoy a fast-paced internal customer service oriented position.  You enjoy working collaboratively and you are eager to expand your marketing support skills.


The role supports the entire administrative staff and marketing team, across all offices, for our expanding firm.  This is an opportunity for professional growth that is integrated into our overall development and succession plan.


Administrative Contributions:

  • Greet guests and serve as back up for overflow of incoming reception calls
  • Coordinate AIA/Interiors lunch and learns; coordinate and conduct interiors library updates
  • Scheduling of manufacturer sales representative meetings
  • Coordinate all outgoing mail and overnight packages
  • Provide data entry support for firm-wide data base system
  • Assist project manager with revisions to specification manuals 
  • Prepare contracts through AIA software, and process Pay applications and change orders from contractors
  • Conference room coordination
  • Assisting with scheduling virtual / zoom meetings
  • Responsible for management of the inventory of supplies and coffee and purchasing
  • Administrative assistance for typing meeting minutes, letters, etc.


Marketing Support Contributions:

  • Mailing list and spreadsheet maintenance (Deltek/Constant Contact list, segmented mailing lists for market sectors)
  • Coordinating and Preparing Proposal Forms
  • Conduct public record search requests
  • Track social media analytics (spreadsheet updates)
  • Occasionally assist with marketing updates as needed:
    • Project sheet updates
    • Resume updates
    • Proposal deconstruction
  • Occasional event coordination support (logistics for tradeshows and internal events)

  • Ability to proficiently use Microsoft Office Suite
  • Familiarity with Adobe Creative Suite is a plus!
