POSITION OVERVIEW


The position of Community Programs and Special Projects Associate is integral to the success of The Westminster Schools and the Office for Institutional Advancement. This engaging, detail-oriented team member will serve as the primary point of contact for Westminster and in Barge Commons. Under the direction of the Associate Vice President for Strategic Communications & Partnerships, this individual answers all incoming inquiries via phone, welcomes and directs arriving guests in Barge Commons, and answers general questions to ensure a positive experience is felt by all who visit the School. This team member will work collaboratively with the Parent & Family Programs Manager and the Community Events Manager, assisting with the day-to-day operations and providing support to parent and community volunteers. In addition, the Associate will serve as an active and visible member of the Westminster Office for Institutional Advancement (OIA).

Position Status: Salaried, non-exempt, full-time, regular, 12-month

Hours of Work: Monday through Friday and the core hours are 8:00 a.m. to 4:30 p.m. Occasional evening and weekend work may be required as job duties demand.

 

ESSENTIAL RESPONSIBILITIES


  • Answers all incoming calls to Westminster; be knowledgeable about on-campus and off-campus events and direct inquiries to appropriate personnel.
  • Serves as the first point of contact for Barge Commons; monitors and responds to phone and email communications and passes along questions and requests to others as necessary.
  • Notifies departments and personnel of visitor arrival and ensure visitors are directed to the appropriate waiting area and/or department location.
  • Maintains Barge Commons employee and department directories.
  • Coordinates, under the guidance of the Parent Programs Manager and Community Events Manager, event logistics for all PAWS, EverCats, and Grandparents Day programming including, but not limited to, event registration, distribution of event briefings, pulling and organizing name tags, executing catering and vendor contracts, and assisting in event set-up and breakdown.
  • Assists in the development and production of parent collateral, including but not limited to: drafting and editing copy for emails, magazine content, website updates, letters, social media, etc.
  • In collaboration with the Parent Programs Manager, gathers and organizes parent-related and PAWS updates for the Weekly Parent Update and submits to the Communications Team in a timely manner.
  • Updates and manages all PAWS-related Resource Boards in Wildcat Web to ensure information is up-to-date, easy to find, and timely.
  • Assumes responsibility for all Veracross updates and SchoolDude entries as directed by the Parent Programs Manager and relevant parent volunteers.
  • Manages expense processing for Parent Programs budgets.
  • Works in collaboration with the entire Westminster community including Office for Institutional Advancement, Facilities, Risk Management, Technology, Catering, Parent Volunteers, and Presidents Office to support events and programs held in Barge Commons.
  • Performs other duties as assigned.

 

REQUIREMENTS

  • Bachelors degree required
  • Two to three years of experience in a non-profit or education environment, preferably in a position supporting team members
  • Very strong computer skills, including high competency in Microsoft Office and Google suite software and proficiency with project management software (preferably ASANA)
  • Polished oral, written, telephone, and e-mail communication skills; ability to communicate effectively with a variety of constituencies
  • Significant experience working with high-level volunteers
  • Self-starter with ability to work independently and take initiative to meet deadlines in a time-sensitive and fluid environment with attention to detail and accuracy; demonstrated ability to manage multiple projects at once and prioritize
  • Strong attention to detail and a high level of accuracy
  • Strong interpersonal skills, including tact, diplomacy, confidentiality, and judgement
  • Team player with a positive attitude, proactive approach, and customer-service mindset
  • Commitment to the Schools mission and willing to serve as an ambassador for the School both internally and externally

 

PHYSICAL DEMANDS


While performing the duties of this job, the employee is occasionally required to to remain in a stationary position for long periods of time; occasionally move about inside the office to access file cabinets, office machinery, etc.; operate a computer and other office productivity machinery; ability to traverse over rough, uneven, or rocky surfaces. The employee must occasionally lift or move up to 20 pounds.

While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces.
