Purpose:

The primary responsibility of the UOO Group Events/Sales Coordinator is coordinate special events at Utah Olympic Oval (UOO). You would be primarily working at the Utah Olympic Oval in Kearns UT coordinating their group events but would also help out with special events at the Utah Olympic Park and Soldier Hollow Nordic Center. These events include corporate meetings and team building activities (curling, learn to skate, hockey, etc), community events, social events, and parties. The position will work closely with the Director of Group Events and Sales, the Group Events Coordinator, and Guest Services with all three venues and additionally assist function areas within the venues to ensure events are held to the highest standards and the guest experience is excellent, specifically Guest Services, Public Relations, and Sponsorship.

Major Tasks, Responsibilities and Accountability

  • Oversees the coordination of events and departments involved at the Oval.
  • Responsible for the sales and operations of the Ovals events
  • Leads and delegates event responsibilities to the Oval during events
  • Act as liaison between clients/ vendors and Oval
  • Oversees coordination for set up and tear down at the Oval
  • Staff retail store as needed during events at the Park
  • Knowledge of Oval. Park and SOHO AV equipment
  • Responsible for closing buildings and turning off all exhibits at all three venues when an event concludes
  • Assists in sales process in Group Event Sales
  • Assists in site inspections in Group Event Sales
  • Learn our products, services, industries, sales cycle, and operations at each venue.
  • Assist with any sale calls, or emails as needed.
  • Coordinate with facility and operations team for each corporate event
  • Coordinate with venders for all group events
  • Provide Guided Tours for groups at the Park
  • Manage catering contracts and partners at all three venues
  • Help with UOLF major sporting and community events
  • Coordinate with KOPFC sales team to ensure all meetings are scheduled in the Element
  • Update UOLF sales calendars
  • Maintain and reconcile all group Oval events in the sales CRM
  • Other job duties as assigned

Required Knowledge and Essential Skills

  • Past sales/events experience required
  • Highly motivated sales personality with excellent people skills
  • Superior organizational, coordination, and oral/written communication skills
  • Must be available 7 days a week (including weekends and evenings)
  • Strong computer skills, and proficiency with PC applications
  • Ability to multi-task with strong attention to detail and ability to make decisions on the spot
  • Must be flexible due to a constantly changing environment
  • Must be proactive and be able to work independently with little or no supervision
  • Experience working with the public
  • Friendly manner and excellent communication skills
  • Must enjoy working in a team environment
  • General knowledge of the Utah Olympic Oval, Utah Olympic Par and Soldier Hollow, its purpose and use for the future of Utah
  • Self-starter attitude. Ability to work with little supervision once daily direction has been given
  • Willing to be flexible, completing additional tasks as needed, such as serving as parking attendant, ticket sales or filling in for other staff when needed

Environmental Job Requirements

  • Ability to work outdoors in all temperature/weather extremes

Physical Requirements

  • Ability to lift 50 pounds
  • Must be able to stand on feet for extended time
  • Specific vision abilities required by this job include close vision, depth perception and ability to adjust focus
  • Hearing to converse with others in a normal conversation
  • Balancing, bending, climbing, kneeling, walking, pushing, reaching above shoulders, and sitting
