The Medical Data Specialist (MDS) is responsible for collecting, reviewing and analyzing data related to the donation process for assigned LifeCenter Northwest (LCNW) hospitals as they relate to regulatory compliance and LCNW organizational goals. This position is responsible for adhering to all established standard operating procedures, federal, state and association regulations.


Referral Data:

  • Reviews referral data ensuring accuracy of outcome for data reporting for assigned death record reviews (DRR).
  • Assists with referral timeliness review process.
  • Responsible for referral timeliness compliance checks and initial coding of assigned hospitals.
  • Assists with donation data input to UNOS.
  • Imports referrals into electronic medical record.


Death Record Review and Mortality Audits:

  • Coordinates directly with hospital staff to receive death lists and establish EMR remote access, as assigned.
  • Conducts Death Record Review (DRR) and applicable audit procedures for LCNW hospitals ensuring consistency, accuracy, and timeliness in reporting.
  • Partners with Senior Medical Data Analyst and ODS leadership to assess missed organ donation potential found on DRR


Data Trend Analysis:

  • Analyzes and provides insight regarding opportunities for quality improvement projects related to donation trends in hospitals.


Process Improvement:

  • Assists with Quality Improvement projects.
  • Assists with auditing referral variance process for completeness, accuracy, and effectiveness.
  • Identifies and implements, with assistance from ODS and HD leadership, documentation process improvement strategies related to referral timeliness, donation potential classification, and final organ disposition 
  • Assists with training on timeliness and DRR Process for LCNW staff.

Other Responsibilities: The Medical Data Analyst will follow other instructions/directions and will perform other related duties as required by the needs of LifeCenter and management team. They will also ensure that they:

  • Comply with applicable laws, regulations, and LifeCenter policies and procedures.
  • Participate in compliance, quality assurance, and performance improvement programs and initiatives.
  • Complete and submit accurate timesheets in a timely manner to reflect time off, pay units earned, as applicable during the period.
  • Complete and submit a timely reconciliation of business expenses charged on his/her corporate VISA card, if applicable, and follow up on any issues in a timely manner.

Educational Requirements:

  • Bachelor’s degree in a related field.
  • Relevant work experience can be considered and substituted for academic requirements.


Knowledge, Skills and Abilities:


  • At least 1 year of experience relevant to project support.
  • Previous experience in Quality Improvement is preferred.
  • Knowledge of medical terminology, regulatory standards, and experience in navigating electronic medical records is required.
  • Strong skills in MS Excel are required for this position.
  • Strong teamwork skills.
  • Must be able to work independently on project assignments, escalating items and asking questions when appropriate.

Working Conditions:


  • Requires a valid driver’s license and access to an insured automobile or the ability to arrive and depart from work and work-related functions at expected times.
  • Travel is not essential to this position; however, occasional travel by automobile and airplane may be requested.
  • This position requires the manual dexterity sufficient to effectively operate phones, computers, and other office equipment. 
  • The individual must have the ability to speak clearly using the English language to accurately convey information and be able to hear at normal speaking levels both in person and over the phone. 
  • Specific vision abilities required by this position include close vision, depth perception, and the ability to adjust focus. 
  • Generally, working conditions do not require exposure to hazardous materials nor extremes in health and safety hazards. 
  • Work is normally performed in an office or hospital setting as well as other business environments. 
  • The employee is required to lift up to 25 pounds with or without assistance.
