Reports to: VP of Global Incentives & Meetings

Status: Full-Time Exempt

Position Description:

The Account Manager, GI&M is responsible for all program logistics and the overall success of the assigned client programs (Incentive Programs, Dealer Meetings, Conventions, etc.). In addition, the Account Manager, GI&M is responsible for building and maintaining client relationships.

Key Responsibilities:

  • Attend Turnover Meetings to get all program information from the Planning Department.
  • Following Turnover Meeting initiate meeting/call with client contact.
  • Meet with assigned program coordinator to review program file and review responsibility of tasks (clearly define roles/tasks).
  • Operations Kick Off Meeting engage appropriate team members (Air, Creative Services, Registration, etc.)
  • Work with program coordinator on ownership of uploading information (timelines, requests, etc.) in WRIKE.
  • Responsible for detailed planning and day to day operation of customized travel programs.
  • Determine and arrange detailed program needs (i.e. room set-up, function times, audio visual, menu selections, on-site/off-site events, activities, recommend entertainment, ground transfers, room gifts/deliveries, VIP needs, etc.)
  • Utilized JNR Event Workbook template (specs) and worksheets to provide ongoing updates on deliverables as program evolves.
  • Maintain and re-cost day-by-day cost sheets in Excel as necessary. Record detailed explanation of budget variances. Meet with Director or VP of Global Incentives & Meetings to review changes in scope and/or budget prior to sending to client.
  • Responsible for timely turn-around of Final Program Reconciliation/responsible to review and qualify all vendor billings.
  • Submit qualified and detailed final billing report to Billing Analyst within 45 days.
  • Single point of contact for the client during the operational planning phase, on-site, post program, and final billing for all program logistics and coordination.
  • Adhere to all deadlines and turnaround times.
  • Excellent customer service and proven ability to deal with demanding clients and challenging deadlines.
  • Participate (as needed) in operational site visits.
  • Domestic and international travel is required.
  • Assumes and performs other duties not specifically outlined herein, as requested.
  • Ability to lead and work well under pressure and adapt to ever-changing scenarios.
  • Time tracking of all programs.
  • Other duties as assigned

Key Areas of Responsibility:

Pre-Program Planning

  • Work with DMCs to develop program activities and to arrange necessary transportation.
  • Work with décor companies to develop theme events.
  • Collaborate with Coordinator and clearly define area of responsibility for the following: Creative Services to develop program detail and collateral materials including but not limited to pre-trip and welcome letters; name badges; program of events; ticket wallets; amenity cards; menus; signage and while-you-are-away cards.
  • Work with Registration Team to manage website design/registration site.
  • Negotiate contracts and pricing for all aspects of the program (if planning has not received commissionable rates on third party vendors, it is the Senior Manager/managers responsibility to negotiate commission).
  • Conduct site inspections and planning trips to prospective hotels and destinations with sales executive and client.
  • Oversee all program mailings.
  • Other duties as assigned

On-Site Program Logistics and Coordination

  • Oversee all arranged details of program/event.
  • Conduct Pre-Con Meeting with all vendors.
  • Advance all functions, verify room set-ups, review.
  • Manage all vendors, travel staff and assistants with the program scope.
  • Ability to up sell program components.
  • Provide quality service to clients as well as to support personnel.
  • Other duties as assigned

Client Relationships

  • Add value to client by counseling client on best practices and guiding the client on ways to make their event even more memorable and successful.
  • Send initial timeline to client showing due dates/milestones, etc. (this should be sent within one week from Kick-off meeting).
  • Communicate budgetary information to client throughout the planning and execution of the event.
  • Maintain the highest level of quality, professionalism and integrity when negotiating with suppliers and dealing with clients and team mates.
  • For any change of Scope requests from client submit Change Order Form for clients signature (clearly defining what has changed in scope/effects on budget, etc.)
  • Responsible for protecting confidential information of JNR and Client.

Qualifications, Requirements, or Competencies:

  • Bachelors degree in business, management or a related discipline.
  • Manage client relationships at the tactical and execution level.
  • Must possess a passion for customer satisfaction and the skill set to address and resolve client issues.
  • Professional, articulate and organized.
  • Strong decision making and strategic planning experience.
  • Problem resolution and analytical skill set.
  • Excellent written and verbal communication skills across all levels of the organization.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint).
