What you'll be doing:

The Property Management Assistant will support the daily operations of the buildings by working with and providing general assistance to the senior property manager, property manager, and chief engineer.

 

What you'll be responsible for:

  • Provide administrative support to the onsite property management team, including serving as back-up in screening phone calls and collecting/opening mail; preparing memos; proposals; and correspondence; copying, and circulating documents. Organize, maintain, and audit file system. Update property management operating manuals and tenant handbook.
  • Ensure front desk and phones are covered and assist in maintaining the reception area.
  • Oversee maintenance of work order system and coordinate chargeable calls for services or after hours air conditioning.
  • Assist with office equipment management including, payment processing, lease term negotiations and equipment repairs and maintenance; submitting copier meter readings to vendors for billing on a monthly basis.
  • Oversee office supply and inventory processes including contracted office supplies, ordering and purchasing supplies, verifying charges, and tracking purchase orders.
  • Process accounts payable, including verifying invoice processing and purchase order work, maintaining check processing schedule, and timely delivery to the office division accounting department.
  • Process accounts payable, including verifying mathematical accuracy of invoices; matching invoices with delivery tickets, contracts, and purchase orders; coding invoices with appropriate account numbers and securing appropriate approvals; and forwarding to accounting for input and payments.
  • Assist with creating purchase orders.
  • Collect billable maintenance work orders from maintenance. Process all billable work orders for processing and invoicing to tenants.
  • Obtain work orders for rebills, match applicable invoices, process by preparing voucher, route for approval, and forward to accounting for input. Research and assist with collection of late fees.
  • Collect and generate all reports (operations, cash flows, and tenant registers) for monthly reports; compile, copy, and distribute total package.
  • Assist in budget preparation, type worksheets, and compile budget books.
  • Assist with payroll, insurance, and other HR duties.
  • Coordinate tenant events and gifts.
  • Actively assist and participate in the Lowes Tech Hub office emergency and fire evacuation procedures.
  • Assist with writing, leveling and administering the RFP process.
  • Assist with writing contracts, and all necessary documents/Contract Administration duties.

What we need from you:

  • A Bachelors Degree in business or related field is desired with a minimum of a two (2) year degree and enhanced business experience.
  • Advanced skills in Word, Excel, and Windows or equivalent software.
  • Ability to read and comprehend instructions, correspondence, and memos.
  • Ability to write correspondence. Ability to effectively communicate with superiors, vendors, clients, divisions, and the general public.
  • Ability to communicate clearly and effectively both orally and in writing, present a professional image at all times, gain the trust and confidence of others, work cooperatively with a variety of individuals, and always project a positive attitude.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several variables.
