That’s Nice, But What’s the Job?

 

The role of Accounting Specialist is to provide payroll, accounts payable and accounts receivable support. The role offers a multi-faceted experience with large opportunities for cross-functional collaboration and exposure to senior leadership across the business, including Sales, Marketing, Product, and Operations. The ideal candidate is an ambitious self-starter who is highly motivated to learn and grow within a fast-paced organization. The position reports directly to the Accounting Supervisor.

 

Position Requirements:

 

  • Prepare and process bi-weekly payroll for multiple growing business units and states
  • Manage payroll processing schedule and ensure deadlines are met
  • Review and verify time data and coordinate error resolution with internal departments
  • Review in detail all transactions before and after payroll is transmitted.
  • Process 401K payment to John Hancock 
  • Review quarterly and annual tax filing reports
  • Manage 401K annual audit
  • Process garnishment paperwork and enter appropriate deductions in the payroll system
  • Design and/or prepare various payroll analysis reports for management utilizing excel & payroll system
  • Serve as the primary contact with the payroll processing company
  • Prepare final payroll termination checks according to state requirements
  • Keep abreast of federal and multi-state laws
  • Provide timely follow-up regarding employees’ payroll questions
  • Perform special projects as assigned by the Accounting Supervisor, Controller and CFO
  • Provide regular headcount reporting
  • Vouch Accounts Payable invoices on a day-to-day basis
  • Process Accounts Payable disbursements twice a month and one-off disbursements as needed
  • A/R Cash Application for US and Foreign Subsidiary
  • Monitor the Accounts Receivable balances and for past due invoices and take action to collect
  • Process Foreign Entity Accounts Payable and Payroll
  • Monitor Foreign Bank Account and update Accounting System with disbursements on a weekly basis
  • Submit Foreign Entity Direct Debit file on a monthly basis
  • Upload Foreign Entity reports to the shared google drive
  • Deposit checks receives to ensure timely recording of cash receipts
  • Review Sales Tax Exemption paperwork provided by Customer to determine if they are Sales Tax Exempt and partner with Customer Success to issue refunds and update the system to reflect Customer as Sales Tax Exempt.
  • Prepare the monthly Chargeback report used to reconcile Credit Card Receipts
  • Review and monitor PayPal to confirm payments were received and make monthly cash transfer to the operating bank account

 

Qualifications We Are Looking For:

 

  • Bachelor’s degree in Accounting or equivalent experience preferred
  • 4+ years of related experience
  • Experience with financial systems, SAGE INTACCT desired; Paycom a strong plus
  • Strong Excel skills required
  • Team collaboration skills
  • Ability to prioritize work
  • Small to Mid-Size Company Experience preferred  
  • High aptitude for cross-functional work
  • Attention to details
  • A pro-active team player, self-starter
  • Excellent written and verbal communication skills
