GENERAL DESCRIPTION

The Operations Coordinator manages room scheduling and the coordination of the related room set up logistics working with the Facilities Director, Guest Services Director, Lion Heart Academy, Housekeeping, Security, Outside Groups, Memorial/Wedding staff and all ministry staff coordinators in relation to scheduling of campus events in eSpace. The Operations Coordinator works directly with church staff in providing help with scheduling conflicts and gives additional support to the Adult Ministry team to input and update eSpace events and setup requirements. The Operations Coordinator works directly with staff accountant to submit facilities billing for payment, assist with checks and credit cards being processed in Nexonia. Assist Staff Accountant and Facilities Director with special projects as needed in the Operations Department.

The Operations Coordinator will:

KNOWLEDGE, SKILLS, AND ABILITIES

  • Working knowledge and use of Microsoft Office Suite, eSpace, Nexonia and other software as needed.
  • Ability to manage and coordinate multiple projects well.
  • Ability to manage the big picture of scheduling events and ability to implement and remove conflicts for the entire building.
  • Excellent communication and organizational skills.

DUTIES

  • Main point of contact for room and resource management in eSpace and authorization for acceptance.
  • Partner with Guest Services for rooms and resources reservation for special and church events.
  • Manage check requests, credit card statements etc. for Operations team.
  • General administrative duties for eSpace calendar management for all campus events.
  • Conduct background checks for staff or congregation as needed, including Motor Vehicle Reports.
  • Work directly with Wedding Coordinator in scheduling events and setup requirements.
  • Help with memorial planning and help with coordination setup, as needed.
  • Provides assistance with scheduling outside groups and conference event coordination in eSpace.
  • Help develop and manage a resource coordination process for the entire church staff.
  • Fulfills, whether by performing or procuring, needs for various administrative services in assigned facilities.
  • Performs other related duties as assigned.

EDUCATION/EXPERIENCE

  • College degree or equivalent work experience
  • 4 years coordination/event management experience
