POSITION SUMMARY

The position of Administrative Coordinator for the Center for Organ Recovery & Education (CORE) is one of moderate responsibility.  The Administrative Coordinator is responsible to and works under the direction of the assigned department director.  As with all CORE employees; however, ultimate supervisory responsibility is by the President/CEO.  He/She will be responsible for completing any and all administrative tasks assigned by the department director.  Tasks may include typing correspondence, recording meeting minutes, scheduling meetings, organizing travel, compiling data, creating presentations, preparing documents for meetings, filing, copying, scanning, etc.  He/she may assist with incoming phone calls and direct calls to appropriate parties.  He/she may be required to receive and distribute all incoming mail. He/she may be responsible for work as a “buddy” for another Administrative Coordinator and assist with his/her task when they are absent.

SCOPE OF RESPONSIBILITY

The Administrative Coordinator of the Center for Organ Recovery & Education is responsible for completing any and all correspondence, which may include donor letters, memos and public requests for information.  He/she may receive and distribute incoming mail and prepare and organize outgoing mail.  He/She may, on occasion, need to prepare information in large volumes for the department and CORE community.  He/she will be required to compile data and prepare reports as assigned by the department director. He/She will make travel arrangements for the department director and department staff.  He/she may be assigned other duties by the department director and/or President/CEO.  

Job Qualifications

JOB QUALIFICATIONS

The incumbent for the position of Administrative Coordinator should have, as a minimum, a high school diploma or equivalent.  Post high school education is highly desirable.  He/She must have excellent typing skills with a minimum rate of seventy (70) words per minute.  He/She must have a good grasp of the English language and must have excellent grammar skills.  He/She must have two (2) to four (4) years of clerical experience.  He/She should have a good working knowledge of medical terminology.  He/She should have prior computer experience.    He/She must have strong organizational skills.  He/She must have the ability to communicate effectively both verbally and in writing.

DEGREE OF JOB DIFFICULTY

Since the Administrative Coordinator’s work is checked by the assigned department director and/or the President/CEO, the degree of difficulty falls into the moderate range.  Inadvertent errors or mistakes could result in loss of relationships with donor hospitals or OPOs.  Legal action is possible if information is transcribed incorrectly. 

SUPERVISORY REQUIREMENTS

None.
