BWH Scheduling Coordinator

Description:  The Nursing Department Scheduling Coordinator duties would include daily tasks of managing the schedules of all nurse managers, nurse supervisors, staff nurses and mental health counselors. Assisting the Chief Nursing Officer with auditing and confirming timecards, ability for on-call rotation, and covering for the Nursing Administrative assistant.

  • HS or equivalent is required; bachelors degree is preferred.

  • 2 yrs previous experience coordinating schedules in a hospital environment 

  • Exceptional organizational abilities; must have ability to multi task and frequently change priorities

Qualifications

Essential Functions:      

  • Create and maintain daily staffing schedules for all units within the nursing department
  • Appropriately coordinate and schedule nursing staff schedules to ensure coverage of all shifts
  • Monitor schedules to ensure that overtime is not incurred without prior approval
  • Reorganize schedule to meet immediate staffing needs and replace any call-outs as soon as possible
  • Prepares daily staffing sheets with continual revisions as necessary
  • Create all new employee orientation schedules
  • Ensure all staff trainings are scheduled as requested
  • Schedule Nurses/MHCs/MTs according to designated shifts and FTE’s
  • Review requests for earned time usage
  • Manage shifts requests, holidays, vacations
  • Maintain confidentiality re: staff discipline, other personal matters
  • Manage bonus accruals
  • Maintain frequent communication with Nurse Managers and Senior MHCs re: skill mix, seniority in schedule development/requests
  • Data management: experience with dashboards, tracking turnover, restraint/seclusion data, tardiness, callouts
  • Other duties as assigned
  • Essential Competencies:

  • Previous scheduling experience in a healthcare setting preferred
  • Proficient in Microsoft Office
  • Experience using an electronic scheduling program preferred
  • Strong verbal and written communication skills, required
  • Must possess outstanding organizational skills and attention to detail
  • Must possess excellent computer skills
  • Must possess solid interpersonal skills
  •  

    Minimum Qualifications:

    Physical Criteria:
