The Outreach and Events Coordinator is responsible for overseeing in-person recruiting events and personnel in support of student recruitment at Briya Public Charter School a leading two-generation education program serving immigrant parents and their young children in Washington, D.C. Briya is a Tier One Public Charter School, consistently achieving the highest educational outcomes through its innovative, family-centric programming.

 

Briya has a strategic partnership with Mary's Center, a Federally Qualified Health Center, further strengthening student families with comprehensive medical, dental, and social services. At three of its four campuses, Briya is co-located with Mary's Center, and many Briya students are recruited through referrals from Mary's Center staff.

 

 

Essential Duties and Responsibilities

 

Recruitment Events

  • Maintain a complete, up-to-date calendar of outreach and recruitment events, noting key outreach and registration campaigns and goals and including in-person recruitment events, phone-based outreach events, and a range of formal and informal partner and community events.

  • Drawing from a pool of part-time staff, volunteers, and fellows, assign appropriate staffing for all outreach events and personally attend many to provide oversight and hands-on training. Events may include but not be limited to:

  • Mary's Center Opportunities: Coordinate with the Field Marketing Coordinator to ensure staff coverage at patient meetings and workshops (ex. BHAP, WIC, CHETR, baby shower, car seat classes, etc) and staff DC-based waiting rooms.

  • Briya Open Houses: Coordinate with the Field Marketing Coordinator and Outreach Manager to staff open houses, partner tour days, prospective student visiting days, and other Briya-based recruitment events.

  • Community Fairs & Festivals: Arrange for outreach staff and student ambassadors to attend community events (flyering or with formal tables) to promote Briya, such as festivals, cultural events, job, and resource fairs, etc.

  • Schools: Attend and staff school events such as back-to-school nights, school open houses, Parent-Teacher conference days, Principal Coffees, family picnics, materials distribution days, and other special events. Coordinate flyer distribution at drop-off and pick-up when appropriate.

  • Partner with the Outreach and Registration Director, Outreach Manager, and Field Marketing Coordinator to design and execute a range of year-round event-based recruitment initiatives.

  • Capitalize on emerging opportunities to post outreach materials, distribute flyers, and attend special events; work closely with the Field Marketing Coordinator to use the outreach routes documents to identify opportunities with local businesses.

  • Work closely with Field Marketing Coordinator, education staff, and registration team to design engaging experiences that give visitors a hands-on sample of Briyas unique two-generation and workforce development programs, including an innovative approach to student preview classes such as parent workshops and math/reading nights at DCPS.

  • In partnership with the Outreach & Registration Director and Outreach Manager, adjust event attendance throughout the year in response to registration and retention needs, always working to keep Briya at 85-90% enrollment or greater during the school year.

  • In partnership with the Outreach & Registration Director and Outreach Manager, prioritize and evaluate the effectiveness of recruitment events on an ongoing basis, according to impact and resource management.

  • Work closely with Briya Communications Team and Field Marketing Coordinator to develop and update materials (collateral, signage, premiums, etc.) to support event-based outreach.

  • Schedule parent workshops as a sampling strategy for prospective students. Support schools with workshop enrollment efforts. Work closely with registration to ensure follow up with interested families.

 

Student Ambassador Program Development

  • Serve as lead contact for a specified group of Student Ambassadors.

  • Hold monthly skill development meetings, ex. Outreach, public speaking, leadership, video making, advocacy, etc. Develop PowerPoint presentations with key information for each meeting. Designate lead presenter for slides. Include Ambassadors as lead presenters.

  • Prepare and train Student Ambassadors who will be helping with events and initiative such as welcome calls to new students, orienting new families when they begin classes, information sessions, etc.

  • Develop leadership opportunities for the Ambassadors such as presenting during info sessions and Ambassador meetings and creating a cabinet that assists with planning.

  • Coordinate the best time for ambassador meetings along with Briya Voices for All as needed. Pilot and implement strategies to maximize attendance and participation such as providing meetings: in English and Spanish, on different days and/or times, in person meeting, at each site, and in the evening for workforce Ambassadors. .

  • Organize materials distribution days and staffing for each site. Assist in maintaining the inventory of materials and ordering new materials along with the Outreach Manager and Communications department that support the outreach efforts (ex. Swag that will be seen when Ambassadors are in the public).

 

Data Tracking

Work with the Student Recruitment and Outreach Manager to set tracking goals, follow established data collection systems and send regular reports. Support outreach's effort to be a data-driven team by tracking the effectiveness of student recruitment activity. Examples may include but not be limited to:

  • Track of participant engagement at events and marketing materials used at events

  • Input new leads into SIS or send them to register@briya.org as needed.

  • In partnership with Field Marketing Coordinator, keep track of student participation in various initiatives and the hours required to execute field marketing initiatives.

  • Continue leadership of the outreach/registration teams effort to migrate from Excel-based to SalesForce partner management. Work with the data team and other teams throughout Briya to ensure a smooth transition.

 

 

Job Qualifications

Education and/or Experience

  • Bachelors degree preferred

  • Demonstrated track record of event management or related experience

  • Minimum 5 years of work experience in a related position

  • English and Spanish proficiency (other languages a plus)

  • Ability to work independently, without immediate supervision, and collaborate across multiple teams

  • SalesForce experience a plus

  • Reasoning Ability Ability to apply common sense understanding to carry out moderately complex, multi-step instructions and make appropriate independent decisions as necessary.

  • Physical Demands Regularly required standing, walking, and sitting, sometimes for many hours at a time; frequently required to reach with hands and arms, walk, stoop, kneel, crouch, talk, or hear; must be able to lift objects up to twenty-five (25) pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Work Environment Part time in a typical office and classroom setting with quiet to moderate noise level. Ability to regularly travel around Washington, D.C. using personal and/or public modes of transportation to meet with partners and attend events with moderate to loud noise levels. Frequently maintains work hours outside of Mon-Fri 9-5, including evenings and weekends, to lead recruitment outreach and events.
