BWH Unit Secretary - Evenings

 

Description: Provide administrative assistance to the inpatient units for admission flow and other non-clinical related tasks.

​Incumbent performs duties in accordance with corporate, organization and department policies and procedures while adhering to the overall mission of Bournewood Health Systems.

Qualifications: Strong interpersonal, organizational and clerical skills are required. Related experience preferred. High school education or GED is required. Ability to read, write, speak, understand and communicate effectively in English is required. Must also be comfortable working in a psychiatric and substance use treatment environment.   Ability to maintain confidentiality is required.

Salary: negotiable

Additional Information: There is a part-time position available evenings from 4-8pm

Job Description

Essential Functions:

 

  1. Organizes and coordinates the flow of information, records, and reports consistent with hospital and unit policy.
  2. Greets patients, visitors, and personnel arriving on unit and providing them with information appropriate to individual requests.
  3. Maintains and facilitates communication consisting of:
  1. Knowing patient location which includes communicating with Admissions Office as necessary
  2. Distributing written correspondence, lab tests, patient diet information, etc., to appropriate departments.
  3. Communicating clearly in emergency and stat situations.
  4. Maintaining bulletin board and patient discharge board on unit .
  5. Making appointments for patients with other departments and outside services for individual consults as requested by members of the clinical team.
  6. Answering phones, recording and distributing all messages.
  7. Facilitating the Multidisciplinary Treatment Planning session by providing Treatment Plan Forms.

 

  1. Insuring all medical records have appropriate supply of each stationary type:

     

  1. Initiating, assembling, and maintaining patient records.
  2. Facilitating medical records for Insurance Review.
  3. Preparing patient record for transfer.
  4. Preparing discharged patient charts and bringing them to Medical Records.
  5. Safeguarding and protecting patient confidentiality of Medical Record.
  6. Assisting with transcribing MD orders as directed by nurse.
  7. Charting vital signs as directed by Nurse Manager
  8. Daily review of medical records to ensure the appropriate order of the chart is maintained
  9. Participating in audits of medical records as requested
  10. Attending committee meetings as assigned

 

  1. Participates in Unit Maintenance Activities as evidenced by:

     

  1. Interacting with patients and as appropriate according to nursing instruction
  2. Meeting routinely with Nurse Manager of unit to address and monitor daily routine for accountability and follow through.
  3. Maintaining appropriate inventory of supplies on unit.
  4. Assisting Nurse Manager with appointment setting and scheduling
  5. Acting in a professional manner
  6. Attending in-service activities to remain current in role.
  7. Demonstrating responsibility through attendance, punctuality, and proper use of earned time.
  8. Participating in own performance evaluation.
  9. Typing, filing and performing other clerical duties.
  10. Any other duties, as requested by Supervisor

    Essential Competencies:

     

  1. Ability to organize details of work.
  2. Strong verbal and written communication skills
  3. Knowledge of Medical Record requirements and organization

     

     

    Minimum Qualifications:

     

    High School education or G.E.D. required. Ability to read, speak, understand and communicate effectively in English. Strong Interpersonal, organizational and clerical skills. Related experience preferred.

     

    Physical Criteria:

     

  4. Must be able to sit for up to 4 hours.
  5. Must be able to climb stairs.
  6. Must be able to walk between buildings.
  7. Must be able to see and speak clearly.
  8. Carry up to 25 pounds for short distances
