We are looking for a Sales Support Representative who can provide excellent customer service and demonstrate outstanding problem-solving abilities in a fast-paced environment while taking phone calls and responding to emails. Position requires a very detail oriented individual capable of maintaining accuracy while processing incoming quotes and making revisions / changes to existing orders according to the established department procedures. This position is accountable for being responsive to customer needs, monthly reporting, managing quotes from start to finish, and building and maintainting relationships. Must be capable of using Microsoft excel, Word, Outlook and other computer programs required to fulfill this position.


Essential Duties and Responsibilities


  1. Process all incoming quote requests for Buying Contract/Direct Bill opportunities. This includes creating initial quote per customer specifications, adjusting pricing according to specific Buying Contract/Direct Bill and sending completed quote/design drawings to Customer.
  2. Process all incoming orders for Buying Contract/Direct Bill opportunities. This includes entering the order in the NetSuite ERP system to ensure all information is accurate. Keep the Customer informed as the order goes through Design/Production/Shipping Stages.
  3. Help to revise and manage Buying Contract Price Lists per Contract. Advise Customers of updated Price Lists and make them easily available to them.
  4. Assist in creating training documents for each Buying Contract. Make sure they are easily available to Customer Base.
  5. Prepare Monthly Data Sales reports on each Buying Contract.
  6. Assist in the Re-Bid Process for each Buying Contract.
  7. Assist in Bidding on new Buying Contract Opportunities.
  8. Participate in continuing education on Buying Contracts. Ensuring to stay up to date on current Buying Contract Policies and Procedures.
  9. Monitor Buying Contract Websites for quote requests and order acknowledgements.
  10. Assist with the Monthly-Quarterly reporting of each Buying Contract.
  11. Attend when available Trades Shows and Conferences that are Buying  Contract Related.
  12. Be available to answer phone calls and emails with a sense of urgency from our Dealer/Customer base to assist with Buying Contract needs and questions.
  13. Routinely reach out to our Buying Contract Direct Representatives to build and keep good working relationship going.
  14. Other duties as may be assigned.

Education and/or Experience

  • Bachelor or Associates of Business Administration or related degree (preferred)
  • High School diploma or general education degree (GED), or one to three years related experience and/or training, or equivalent combination of education and experience.


Job may require light travel to visit sites and a flexible schedule. Less than 10%


Computer Skills

Demonstrated proficiency with MS Outlook, Excel, Word, PowerPoint and Access

  • Ability to read and interpret documents such as procedure manuals, work instructions, software manuals. Ability to write routine reports and correspondence. Ability to speak and communicate well with customers.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations such as in relating customers questions to catalog item variables, and pricing structures
  • Time Management: the ability to organize and manage multiple priorities.
  • Strong customer orientation.
