The Windward School is currently seeking a Assistant Director of Human Resources to serve all Windward campuses with a home office at the Westchester Lower School.  Although the home office is at Westchester Lower School (White Plains, NY), there is an expectation for this role to visit the NY campus at least once every 2 weeks; possibly once per week during various times of the year.

 

This new position will work with the Director of Human Resources and the team to ensure that the vision and execution of the Schools overall HR practices are aligned with The Windward Schools mission.

Duties and Responsibilities

  • Reporting: running Personnel reports in Paycom depending with specific data based on the request. Formatting data as appropriate for the request. This area needs to be elevated in terms of running the report and building reports in Paycom that will help us analyze headcount by department, salary information, DEIB hires, etc that can be recurring.
  • Personnel Changes: Develop and disperse Offer Letters, Annual Employment Letters (union & non union), non probationary letters & Change of Status/Salary Forms.
  • Payroll: handle all salary Calculations & adjustments for blends, prorated salary adjustments for those who do not work the entire school year, calculations on teacher to Coordinator conversions, entering semi-monthly datasets of additional pays, tracking historical pay rates for various items like curriculum work, SIP, new hire orientation, chaperone duties, etc.
  • Recruitment: assist with building & update job descriptions, post jobs on Paycom, researching various job boards for diversity and specific functions, posting on those boards and analyzing the amount of qualified candidates from each job board, prescreening of candidates for all roles for any roles below a Director level.
  • Employee Relations: In conjunction with Director of HR, take on HALF of the employee relations conversations, mediations, one on ones, etc. Documenting all employee relations issues, how they were navigated and following up. Anything with potential legal implications will be handled by Director of HR.
  • Exit Interviews: In conjunction with the Director of HR, conduct all exit interviews with the exception of Director level and above which Director of HR will conduct. Documenting all feedback, sharing preliminary COBRA information and sorting out the return of Windward property.
  • Paycom Build Out & Cleanup: Revamp and maintain HR sites within Paycom. Applicant tracking Paycom site needs additional branding, HOS message,. Go through database adding important info that we can report on, removing
  • School Communications: work with various departments to obtain content on School communications that should be highlighted for faculty/staff. Develop monthly powerpoint slides to display on screens in faculty lounges.
  • Modernizing the HR office: in conjunction with Director of HR, oversee the transition of paper personnel files to electronic personnel files, transition paper based forms to Microsoft electronic forms in order to apply for leaves, salary changes, request for meetings, etc.
  • Probationary Evaluations: work with Director of HR to develop and launch a 90 day non union evaluation process that is effective yet simple for supervisors to complete.

Specific Requirements

  • Bachelors Degree in Human Resources required
  • At least 5 years of HR Generalist experience including recruitment, benefits, employee relations, employee engagement, etc.
  • Advanced excel skills required including vlookups and pivot tables all candidates will be tested
  • Experience working with HRIS systems including applicant tracking systems; Paycom experience a plus
  • Knowledge of ERISA guidelines and prior 401K or 403b experience
  • Ability to stay abreast federal and state labor laws (NY, CT) to ensure compliance
