Position Summary

Position Summary:

Responsible for supervision of conference management team and for the development, management and oversight of conference education and events as assigned by the Director of Events and Member Programs.

Duties and Responsibilities:

  • Manages a conference management team of 5 as direct reports; includes (2) Event Program Managers, (2) Event Coordinators and (1) Show Floor Manager; conduct weekly check ins to track event progress, budget management, timeline, deliverables, problem solve; provide support for career development and success at job.
  • Manages IFAI’s Annual Expo to include all education, speakers and website content as well as assist in the overall program management from origination to execution; works directly with respective organizing committees to establish goals, event format(s), marketing initiatives and audience development that focus on reaching determined goals. Full oversight and strategy for IFAI Expo is provided by the Director of Events and Member Programs.
  • Directly manages 2 – 3 conferences or other mid-size events each year.
  • Partners with Event Accountant and other stake holders to roll out registration for events.
  • Collaborates with marketing team to coordinate promotional efforts to maximize all opportunities to distribute event and registration information to drive attendance, hotel use and increase exhibitor participation.
  • Works with marketing team to develop pre-event, onsite and post-event promotions, including registration materials, signage, speaker templates, handouts, etc.
  • Drives website updates based on marketing efforts.
  • Handles RFPs for respective events, including: site selection, decorator, audio-visuals, and other vendor-related services based on event needs.
  • Oversees onsite meeting logistics, including: staff, volunteers, registration, hotel, vendors, speakers, etc.
  • With assistance executes sponsor benefits at events.
  • Serves as department middle management lead – point person for department and training.
  • Carries out other duties as assigned.
  • Travel – 10%.
Qualifications

Qualifications/Competencies:

  • Minimum 4-year college degree in related field.
  • Minimum five (5) years of related work experience.
  • Minimum two (2) years of supervisory skills.
  • Strong communication skills (written and verbal) - Able to communicate with a wide variety of individuals (internally and externally) at all levels. Ability to understand directions, communicate and respond to inquiry in various forms.
  • Planning and organizing - Highly organized and able to handle multiple tasks at once. Ability to prioritize work in an organized and effective manner in a deadline driven environment.
  • Strategic thinking - Must be able to recognize opportunities and define challenges, collect data, establish facts, and present valid conclusions. Must be diplomatic and understand how to work with many different personalities.
  • Attention to detail - Achieves thoroughness and accuracy when accomplishing a task through concern for all areas involved. Excellent proof-reader.
  • Mathematical reasoning - Calculates event budgets, costs related to travel and procurement of speakers, educational materials and marketing efforts. Ability to manage revenue and expenses as they relate to event budgets.
  • Office operations - Strong skills in computer operation as well as telephone, copiers, calculator and other office machinery. Must be able to input and retrieve information from a computer using various word processing and spreadsheet software programs. Enjoy working in an open-office environment. Must be able to move about the building and within/between workstations.
  • Strong attention to detail and ability to organize multiple tasks simultaneously.
  • Strong oral and written communication skills.
  • Strong ability to work independently and within a team.
  • Above average skills negotiating with speakers, vendors and agents.
  • Previous work with boards and organizing committees.
  • Previous volunteer management experience.
  • Must be able to move about building and within/between workstations.
  • Must be able to sit for long periods of time.
  • Must be able to lift 25-50 lbs.
