  • Initiates and receives phone calls from clients and insurance companies.
  • Accurately completing insurance information at the client registration and appointment levels of the billing system.
  • Provides complete pre-authorization, insurance verification, basic benefits information for clients.
  • Updates client demographic and insurance information.
  • Ensures presence of pre-authorization and/or insurance referral numbers prior to a client receiving services at agency based on various insurance requirements & rules.
  • Notes in each account a brief summary of information received from the insurance company.
  • Provides benefit coordination for clients in order to properly instruct when services will or will not be covered by insurance and whether any co-payments or deductibles will be due at the point of service.
  • Corrects accounts that have erroneous registration information and ensures that all associated claims have the correct financial classification.
  • Acts timely on system edits to ensure that proper actions are taken on accounts so that successful reimbursement for services will occur.
  • Documents accurate information in the ECHO system to be utilized by all staff.
  • Collaborates with & coordinates the expertise of various mental health clinicians in order to ensure reimbursement criteria have been met. Also, serves as resource to support & assist these same clinicians with questions regarding registration, FSC/Plan assignment and referrals as needed.
  • Communicates to Business Office Manager any system or procedural problem or inconsistency to prevent recurrence of the problem or to improve existing processes.
  • Assists in scanning in required documentation.
  • Assists in maintaining the appropriate documentation as required.
  • Demonstrates an understanding of HIPAA in regard to client confidentiality to protect the client and the agency from breaches of confidentiality.
  • Demonstrates professionalism and courtesy to clients, families/guests, and other team members.
  • Communicates with vendors, clients, referring physicians, co-workers, and all team members in a courteous and professional manner.
  • Cross-trained to be the backup for the Intake Receptionist positions.
  • Follows policies and procedures to contribute to the efficiency of the clinic office.



High school graduate or equivalent. Associate degree preferred. 3-5 years of related office experience, preferably in outpatient registration and insurance verification. Valid driver's license required. 

  • Excellent telephone etiquette, interpersonal communication, and customer service skills.
  • Basic computer skills and an ability to type at least 40 WPM.
  • Knowledge of insurance contracts and the associated rules for claim submission preferred.
  • Knowledge of scheduling/registration system and/or other automated scheduling/registration system preferred.
  • Knowledge of medical and insurance terminology.
  • Ability to perform in a high-pressure environment.
  • Ability to organize and prioritize work.
  • Problems presented may require advanced analytical skills and highly developed communication/service delivery skills in order to successfully serve our clients.
